Job Summary

Working as part of Radiologys multi-disciplinary team, the [Title], under the direction of the Supervisor - Patient Imaging and Scheduling, provides excellent patient-focused care whilst performing accurate and timely reception and registration activities at both the Out - and In -Patient Radiology sites.

These officers provide courteous and efficient assistance for all patients, their families and other internal and external visitors / callers to Radiology. Their scope and purpose are to provide frontline operational support to the clinical Radiology facility so that patients receive efficient and timely patient-centered care.

Based on operational requirements, [Title] liaises with Ambulatory Affairs Generalist in the OB Diagnostics Out-Patient Clinic to provide support to the Radiology Ultrasound service provision at that location.

The [Title] performs basic scheduling activities in support of the Imaging Patient Coordinator and may perform other duties as assigned by the Supervisor - Patient Imaging and Scheduling.

Systems integral to, the [Title] workflows may include:

  • Cerner registration application
  • Cerner Scheduling System (limited)
  • Powerchart order entry
  • Radnet application
  • Biometrics, including palm scanning technology
  • Patient identification, including real time locating system (RTLS) wristband technology
  • Finance payment system
  • Insurance necessity and eligibility applications
  • Capacity management patient transportation application
  • Car parking validation technology
  • Visitor management technology

IT hardware including document scanning and barcode reader equipment.

Reports directly to Supervisor - Patient Imaging and Scheduling

Key Role Accountabilities

  • Consistently performs accurate Patient Identification practices, including proper PEARL record searches and accurate wristband placement.
  • Initiates and advocates decisions in the context of patient experience and patient-centered care which impacts patients, families, and physicians.
  • Digitizes and uploads external imaging studies to PACS.
  • Performs accurate copying of imaging exams performed at Client.
  • Consistent entry of quality registration data.
  • Performs upfront cash collections during registration activities directly impacts revenue cycle cash collections.
  • Exceptional patient relations and communications in all telephone, email and/or face-to-face patient encounters to provide a superior 1st point of contact patient experience.
  • Greets and acknowledges visitors, patients and family members who arrive at Radiology reception for radiology services. Directs to appropriate locality, waiting area and or associated department. Answers any general, non-clinical questions that may be solicited, or finds the most suitable staff member to answer.
  • Observes and maintains patient privacy and confidentiality at all times.
  • Consistently performs the Patient Identification process, including patient wristbands. Activates and applies Real Time Locating System (RTLS) wristbands to all inpatient admissions originating in Radiology or who may require to have their RTLS wristband removed to safely undergo their procedure (MRI).
  • Ensures accurate patient identification by reviewing the Master Patient Index (MPI) to determine if patient has an existing medical record before initiating registrations. Reviews and validates printed wristbands with each patient and performs biometric validation. Prints wristbands for those patients attending directly to radiology. Consistent and methodical implementation of the biometric system in Patient Identification practices
  • Accurately scans appropriate patient identification into the electronic medical record: Qatar Identity Card and / or passport, and Insurance Card. Ensures insurance information is updated and accurate for each visit.
  • Performs accurate registrations in assigned Radiology locations.
  • Thoroughly explains all electronic documents and captures patient or patient legal guardians signatures.
  • Successfully completes insurance eligibility which may require direct contact with the insurance company and Clients financial counsellors.
  • Ensures accurate billing, payment of radiology services provided, collection of insurance co-payments and issuing of receipts.
  • Handles cash transactions for Radiology services.
  • Refers patients to financial counsellors as appropriate for billing programs that may require multiple payments, inability to pay cost of service and other financial questions.
  • Balances assigned account and submits daily to the financial office. Escalates all billing issues to the line manager and to the assigned financial counsellor.
  • Assists PACS Administrator, as workflow allows, to accurately copy patient imaging exams to CD /DVD from PACS for patient referral elsewhere and to digitizing outside films and matching- uploading to PACS.
  • Responsible for using the Visitor Management System and Parking Validation systems as appropriate to area of assignment. Ensures patients are aware of parking validation service prior to leaving Radiology.
  • Creates orders in Cerner for externally referred-in patients, transcribing the information from the provided requisition form.
  • Assists and liaises with the Imaging Patient Coordinators in scheduling appointments for patients as workload necessitates. Upon booking each appointment, a pre-registration is required so that Finance may complete workflow components prior to the patients next visit.
  • Adheres to departmental and organizational policies, procedures and regulatory standards and requirements.
  • Adheres to and promotes compliance with the hospitals radiation safety and protection and MRI safety policies and associated codes of practice and takes appropriate action where non-compliance is evident.
  • Participation and compliance with quality improvement programs and competency assessment initiatives for Radiology services. Participates in mandatory training and actively practices continual professional development in alignment with Clients professional development programs.
  • All other duties within the scope of the position necessary for the Radiology services to run efficiently, as assigned.

Education

Essential-Diploma graduate

Preferred-Hospitality training certificate



Experience

2+ years combined frontline experience, encompassing data entry, customer service, reception, cashiering experience.

  • 1+ years combined frontline experience encompassing data entry, customer- hospitality service, reception, cashiering experience and/or registration experience in a healthcare setting.
  • Working knowledge of Radiology Departments
  • Previous exposure to Hospital Information Systems (HIS) and Radiology Information systems (RIS) advantageous.

Completion of Certified Healthcare Access Associate- US (CHAA) certification within 1 year of onboarding
