Summary: We seek a Virtual Assistant to join our fast-growing team and play a pivotal role in joining our Solutions team. Our Solutions team provides essential support that enhances and contributes to organizational focus and effectiveness. The Solutions team plays a crucial role in researching, developing, and implementing efficient solutions for our entire company.

The Virtual Assistant will report directly to our Director of Executive Solutions and will help oversee some of the day-to-day work that is required to keep our team running efficiently. The team moves fast as we grow. We seek someone who thrives in the unknown and is thrilled to learn that no two days look the same.



Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Support the Director of Executive Solutions in overseeing the emails and calendars of the CEO

  • Implement and oversee Outlook rules for email management

  • Creating new contacts in Outlook

  • Research, book, and finalize travel for Executives

  • Register executives and team for events and conferences

  • Posting approved social media content on behalf of members of the executive team

  • Work with Office Solutions Manager to order office and technology supplies

  • Assist the Office Solutions Manager with new hire setup tasks

  • Send onboarding gifts to clients as well as gifts to referral partners

  • May assist with social media posting, and updating website with new staff

  • Assist in larger scale team projects as needed

  • Complete one-off projects as assigned

  • Pivoting and prioritizing tasks to meet changing needs daily

  • Other duties as assigned

Key Qualifications:

  • Minimum 4 years’ experience working in a VA position, including 2 years working with a US company

  • Proficient in Microsoft Office products including Word, Excel, PowerPoint, SharePoint and Outlook

  • Experience with HubSpot preferred

  • Must be flexible and adaptable to meet the needs of our growing team

  • Fluency in English writing and speaking

  • Tech savvy, able to learn new apps quickly

  • Must be able to communicate well electronically and verbally

  • Strong organizational skill and attention to detail

  • Demonstrated history of working US hours

  • Able to multi-task and support a fast-moving company

Shift / Hours:

Monday Friday in one single shift,8:00 PM PHT 5:00 AM in PHT (during DST) or 9:00 PM PHT 6:00 PM in PHT (outside of DST).
