THE CLERK'S ROLE & RESPONSIBILITIES

THE ROLE

The role of the Clerk is varied. The Clerk provides continuity year-on-year within the Company, and is intrinsically involved in the Company's strategic objectives and development working closely with The Master.

The Clerk is responsible for the day-to-day administration of the Company on behalf of the Court, with responsibility for delivering the Company's formal events and maintaining the key interface with the Members. The Clerk reports to the Court via the Master.

The Clerk has a ceremonial role at the Company's formal functions. There is the expectation that the Clerk supports and accompanies the Master to selected daytime and evening civic and livery events throughout the year and is an important representative of the Company.

RESPONSIBILITIES

In summary the responsibilities of the Clerk are:

Administration, Governance and Compliance

  • Undertake efficiently the day-to-day management and administration of the Company and the Charity
  • Act as Secretary to the Court, Finance and Nominations Committee, including preparation of agendas, documents and minutes. Contribute to the oversight of the management and support of Company committees, liaising with committee chairs and secretaries and maintain a calendar of all Committee meetings
  • Assist the Master in maintaining, organising and prioritising their diary
  • Ensure compliance with the Company's Charter, Ordinances, and By-laws, as well as all relevant legal, financial, and regulatory requirements.

Membership

  • The Clerk's role is vital to contribute to the growth of the membership as well as to engaging existing members and to ensure ready access to City and Company activities and events
  • The Clerk underpins the delivery of the membership recruitment and retention strategy by actively using our website, social media and CRM system, to manage internal and external communications with current and prospective members. The Clerk facilitates induction, mentoring and engagement programmes for new and existing members
  • Maintain an up-to-date record of all Members ensuring Data Protection compliance
  • Manage the progress of members from Freeman to Liveryman

Communications, Events, Representation

  • The Clerk is a key point of contact for all external and internal communications and the public presentation of the Company to the City and other organisations
  • The Clerk will coordinate the Company's online presence
  • To use, develop and manage the Company Website effectively
  • Accompany the Master to relevant events and to provide guidance on matters relating to ceremonials
  • Be proficient in delivering first-class, well-organised, financially sustainable events, both formal and informal
  • Maintain good communications with the Membership, the Court and external stakeholders
  • The Clerk is the Company's conduit in its relationships with the wider Livery community, the Corporation of London, The City Livery Committee, the Guildhall and Mansion House the Fellowship of Clerks, industry links and beyond

Strategic Development

  • Support the Court in developing and implementing strategic plans, including succession and talent management
  • Monitor external trends, challenges, and opportunities relevant to Livery, the City of London and beyond
  • Promote the Company to the wider community, enhancing its reputation and visibility
  • Contribute to the development of digital platforms, branding, and outreach activities

Finance

  • In conjunction with the Treasurer, maintain agreed systems of financial control for all Company activities, including procurement and contractual arrangements.
  • Contribute to the preparation of annual budgets and liaise with outsourced accounting support to ensure the efficient and timely production of periodic financial reports.

PERSON SPECIFICATION

This could be the ideal role if you wish to join an active, forward-looking Company. You will need to:

  • Demonstrate business acumen and strategic awareness to deliver agreed objectives
  • Have an affinity with and be willing to learn about the wool and textile industry
  • Be flexible, able to work under pressure across multiple roles, be adaptable to change
  • Have excellent hands-on administrative and organisational abilities
  • Have excellent verbal, written presentation and communication skills
  • Have confident IT and online skills and the ability to use and leverage social media
  • Be comfortable managing formal ceremonial events and the protocols involved
  • Be friendly and approachable, with excellent people skills and an ability to inspire confidence
  • Be a team player as well as a starter and finisher
  • Have an appreciation of the ethos and culture of the City of London and the Livery Community
  • Demonstrate commitment, sound judgement, energy, tact, diplomacy, and confidentiality
  • Be based within easy reach of the City of London
  • Be able and prepared to work outside traditional office hours (eg at Company dinners, Trade Fairs etc)

Candidates without prior experience of the City of London or Wool will be considered provided they meet the other criteria and have a developed interest in Livery Companies and/or Wool.

EMPLOYMENT TERMS & CONDITIONS

Location: Home based - with frequent travel, primarily to the City of

London

Hours of work: The responsibilities outlined can be managed within a 5-day working week but there is a requirement to work late on some occasions, particularly when attending 3rd party events in the City, or when delivering the main Company events. There is also an occasional requirement to work over a weekend.

Remuneration: £70,000 per annum, permanent, 5 days per week.

Benefits: A pension scheme is available to be discussed on appointment.

Holiday: 25 days of paid holiday plus bank holidays per annum. Dates must be arranged with the Master's approval.

Probation Period: There will be a probation period of six months. During this time either party may give one month's notice. After the satisfactory completion of the six months the position will become permanent. Thereafter the notice period will be six months.
