BACKGROUND
As a livery company our membership is drawn from the international trade fraternity, with the aim of raising the awareness and understanding of, and standards of practice within, world trade. We are
101st in the Order of Precedence of the London 111 Livery Companies. Our mott is Commerce and Honest Friendship with All which is taken from Thomas Jeffersons Inaugural Presidential Address.
Since 1988 the Companys hallmark annual event is the Tacitus Lecture, one of the largest intellectual events in The City of Londons calendar. This provides a platform for both independent and positive discussion and the encouragement of world trade amongst a broad range of nationalities and cultures.
Context for the Role
- To work within the Clerks office to support the Clerk with the delivery of the Company and Masters vision and objectives.
Purpose of the Role
- Support the day-to-day coordination with the Clerk of the activities below to ensure effective and efficient running of the Clerks office.
Role responsibilities
Events Assistance
Assistant to the Clerk in the planning and delivery of internal and external events, including;
- Sourcing potential venues
- Liaising and determining costs with suppliers including caterers, entertainment and florists
- Assisting with member bookings and queries on the website
- Preparing event programmes with external printer and producing table plans via software
- Writing & posting Pour Memoires
- Assisting in the preparation of running orders
- Distributing programmes at events and supporting the Clerk (some evening work will be required)
Membership
Assisting the Clerk with:
- Downloading new member applications and liaising with the applicant and their supporters/sponsors
- Preparing documents for approval from Committee and Court
- Updating database with new membership details
- Preparing members for progression to Livery status
- Making appointments for Freedom Ceremonies and doing running order for Clothing ceremonies
Administration Assistance
Assistant to the Clerk with administration matters, including:
- Assisting with the preparation of agenda and minutes for the Court and various sub-committees
- Assisting in the management of the Company Calendar
- Keeping the Company membership data up to date
- General company administration as required
- Attending Company events as required
- Occasional off-site visits to review the company storage
- Updating the Companys social media and website
Person Specification
- To be able to self-motivate as well as be an active and supportive team member with a can-do attitude
- Demonstrate ability to assist with organising large events and aligned with livery protocol
- Demonstrate excellent written and verbal communication and interpersonal skills
- Ability to support communication through all social media platforms
- Good up to date IT skills
- Understanding and interest for the city civic and livery movement.
- Be an ambassador for the Company at all times
Employment Terms & Conditions
Location: Home based - with some travel, primarily to the City of London.
Hours of work: The responsibilities outlined can be managed within a 2-day working week but there is a requirement to work late on some occasions, particularly when attending 3rd party events in the City, or when delivering the main Company events.
Remuneration: £15,000 per annum for 2 days per week (Pro rata FTE of £37,500).
Benefits: A pension scheme is available plus other benefits to be discussed on appointment.
Holiday: 12 days of paid holiday plus bank holidays per annum (preferably not during the three weeks leading up to the Tacitus Lecture each February).
Probation Period: There will be a probation period of six months. During this time either party may give one months notice. After the satisfactory completion of the six months the position will become permanent. Thereafter the notice period will be six months.
