About the job Junior Sales Administrator

As our Junior Sales Administrator, your tasks will fall under three main categories: office management, sales support, and recruitment /new hire onboarding support:
Responsibilities:
Office Management:
- Answering telephones, greeting interviewees and clients for our Montreal and Toronto offices.
- Distribution of incoming mail and courier sets.
- Ordering office supplies such as coffee, paper towels, notepads, Clorox wipes, etc.
- Accounts payable.
- Leading the fun committee: organizing teambuilding and other fun office functions contributing to culture such as birthdays and other matters requiring recognition and celebration.
- Submitting daily attendance and retrieving monthly attendance reports.
- Managing social media presence.
- Liaising with building over all maintenance and other matters.
- Ongoing support for management and CEOs across our North American offices.
Sales Support:
- Researching companies within specific product and service categories.
- Tracking key performance indicators of sales force to meet daily, weekly, and monthly goals.
- Sending out set emails to specific prospects and scheduling phone appointments.
- Responding to marketing enquirers to set up phone appointments.
- Scheduling Preparation calls with clients attending events.
- Scheduling Follow-up calls with clients who have just attended an event.
- Maintaining Follow-up spreadsheets per Summit, and linking to Master copy Follow-up Spreadsheets.
Recruitment and New Hire Onboarding:
- Posting job adverts / Screening candidates / Scheduling interviews.
- Grading recruitment tests.
- Conduct reference checks for new hires.
- Coordinating new hire training schools: creating agenda, scheduling Montreal managers and other contributors to the training in other locations.
- Conducting new hire orientations and administering of HR materials.
- Submitting requests to building management to add new hires for key cards, access the gym, etc.
- Liaising with IT to set up emails, assign extensions, add new hires to iSymphony, set up MLM, etc.
- Process out employees (termination/resignation) - HR, IT, and remove them from the building list.
Qualifications:
- While Receptionist/Office Management experience is an asset, we are prepared to fully train the right candidate.
- Exceptional in programs such a Word, Excel and other MS office tools.
- Proficient with social media.
- Experience with recruitment sites (such as Indeed, LinkedIn etc.) an asset.
- Highly motivated individual who is capable of multitasking in a fast-paced environment.
- Excellent written and oral skills (English) / Solid communication and interpersonal skills.
- Track record of over-achieving goals.
- Friendly, helpful, confident, and engaging personality.
- Positive, goal-oriented attitude.
