Executive Assistant

Our client is seeking an experienced and dedicated Executive Assistant to provide high-level administrative support to a key executive within the organization. The Executive Assistant will play a crucial role in ensuring the smooth functioning of the executive's daily activities and supporting the overall efficiency of the executive's team.

Responsibilities:

  • Calendar and Schedule Management: Efficiently manage the executive's calendar, schedule, and appointments, ensuring timely and appropriate allocation of time for meetings, events, and travel arrangements.
  • Communication Coordination: Act as a gatekeeper, managing all incoming communications (phone calls, emails, and messages), prioritizing their importance and relaying critical information to the executive. Draft, proofread, and edit correspondence and other communication materials on behalf of the executive.
  • Travel Arrangements: Organize complex travel itineraries, including flights, accommodation, transportation, and other logistical details, while considering time zones, visa requirements, and personal preferences.
  • Meeting Preparation and Support: Assist in preparing materials, reports, and presentations for meetings. Attend meetings as required, take accurate minutes, and follow up on action items to ensure timely execution.
  • Information Management: Maintain an organized and up-to-date filing system, both physical and digital, for documents, records, and other essential information related to the executive's responsibilities.
  • Expense Management: Track and reconcile expense reports, ensuring adherence to company policies and guidelines.
  • Relationship Management: Interact with internal and external stakeholders professionally and respectfully, building and maintaining positive relationships on behalf of the executive.
  • Special Projects: Collaborate with the executive and their team on various special projects, conducting research, data analysis, and preparing detailed reports.
  • Confidentiality: Handle sensitive information with the utmost discretion, maintaining strict confidentiality at all times.
  • Support Team Collaboration: Work closely with other administrative staff and team members, providing backup support and assisting with broader team initiatives when necessary.

Requirements:

  • Proven 8-12 years experience as an Executive Assistant or Personal Assistant supporting high-level executives.
  • Experienced in a Venture Capital Firm or Private Equity firm advantageous.
  • Able to excel in a fast paced working environment.
  • Strong verbal and written communication skills, along with excellent interpersonal skills.
  • Ability to anticipate needs, demonstrate resourcefulness, and exercise sound judgment.
  • High level of professionalism, adaptability, and discretion in handling confidential information.
  • Bachelor's degree or equivalent qualification preferred.
