Job Title: Executive Assistant (Japanese-Speaking) - Global Investment Firm

They currently manage almost $30 billion in assets worldwide and have close to 25 offices across the globe, with a multivalent strategic approach across various investment sectors like growth equity, commodities, macro, and long/short equities.

Job Summary:

As the Executive Assistant, you will be primed to provide high-level administrative support to 2 senior professionals as well as the Japan team. The candidate who will excel in this role is a master communicator who prides themself on detail-oriented and resourceful professionalism - ideally, you are fluent in both spoken and written English and Japanese, with a strong inclination and capacity to work in an intense and hectic environment.

Key Responsibilities:

  • Manage the calendars of 2 executives, including scheduling appointments, meetings, and gatekeeping all incoming communications, relaying critical information to your executive
  • Organise complex travel itineraries, including flights, visa requirements, accommodation, and transportation
  • Liaise closely with and provide secondary support to the Japan team, including handling English-Japanese business translations where necessary
  • Track expense reports and handle all expense claims and account payables
  • Assist in preparing materials, reports, and presentations for meetings, and handle filing systems for all subsequent documents
  • Interact with internal and external stakeholders professionally and respectfully, building and maintaining positive relationships on behalf of your executive

Requirements:

  • Proven experience of 5-10 years as an Executive Assistant in the financial services sector is required
  • Exemplary spoken and written communication skills in English and Japanese to liaise closely with the Japan team and relevant stakeholders is necessary
  • Outstanding levels of professionalism, interpersonal skills, and adaptability to handle a high volume of urgent and confidential information
  • Strong attention to detail and accuracy in work, with an ability to exercise sound judgement and demonstrate resourcefulness while managing time well
