Job Summary:
As an Executive Assistant, you will provide comprehensive secretarial support to a dynamic investment team comprising multiple senior executives and reporting to the Head of Administration. The ideal candidate will play a critical role in ensuring the seamless operation of the team, managing complex schedules, and facilitating efficient communication both internally and externally.
Responsibilities:
- Coordinate and manage complex schedules, meetings, conferences, and coordinate travel arrangements for multiple senior executives within the investment team.
- Act as a primary point of contact for internal and external stakeholders.
- Organize and prepare materials for team meetings, and presentations, take minutes and distribute relevant information.
- Arrange international and domestic travel, including flights, accommodation, and transportation with detailed itineraries prepared and ensure timely submission of expense reports.
- Prioritize and manage multiple tasks simultaneously to meet deadlines.
- Anticipate the needs of the investment team and proactively address them.
- Handle sensitive information with the utmost confidentiality and discretion professionally.
Requirements:
- Proven experience of 10 to 12 years as an Executive Assistant supporting multiple senior executives in a fast-paced environment, preferably within the financial services industry.
- Strong organisational and time-management skills with sharp attention to detail.
- Ability to maintain composure and effectiveness in high-pressure situations and environment.
- Flexibility to adapt to changing priorities and schedules and work well within a team.
- Strong interpersonal skills and excellent communication skills, both written and verbal.
