Job Summary:
This Executive Assistant position is perfect for someone adept at handling various office support tasks. In this role, you will not only offer substantial secretarial support to key senior leaders but also oversee the daily operations and maintenance of our client's Singapore office while managing a small/medium team. We are looking for a candidate with exceptional interpersonal skills a skilled problem-solver who can effectively manage relationships and execute tasks with confidence and efficiency.
Key Responsibilities:
Executive Assistant Support
- Offer comprehensive secretarial support to 4-5 key senior leaders, which includes managing their calendars, coordinating meetings and schedules, and informing them of critical deadlines and deliverables.
- Arrange travel and accommodation for key senior leaders, which involves booking flights, ground transportation, and handling visa applications and renewals, as well as planning their itineraries.
- Handling administrative reports, maintaining file systems, and submitting all expenses and claims
- Supervise office maintenance, including stocking the pantry and supplies, managing equipment, and overseeing space/infrastructure
Requirements:
- Proven experience of at least 5 years as an Executive Assistant position, within the financial services industry, is necessary for the role
- High-level attention to detail and precision in your execution of all tasks
- Spectacular interpersonal and verbal and written communication skills, with an outstanding and savvy ability to manage, communicate, and collaborate with stakeholders at various levels in the organisation
- Exceptional budget management, planning, organisational, and time management skills
- Solution-driven team player who is able to robustly navigate a multitude of tasks
