Mid-level Executive Assistant to Managing Partner - Leading Investment Firm

Job Summary:

As an Executive Assistant, you will be reporting directly to the Managing Partner. The successful candidate needs to possess the ability to thrive in a fast-paced industry with rigorous work schedules, be someone who is extremely detail-oriented, dedicated, and enjoys taking ownership and accountability for their work, and have singular communication and organisational skills.

Key Responsibilities:

  • Handle intensive and complex calendar management, working with direct reports to organise and coordinate all meetings, events, conferences, off-site appointments, and relevant logistics.
  • Prepare, format, and review all meeting materials for the team, such as Word documents, Excel spreadsheets, and Powerpoints
  • Arrange travel schedules comprehensively, including detailed travel plans and itineraries, necessary travel documentation, accommodations, and visas.
  • Communicate and correspond with all internal and external teams, departments, and relevant stakeholders
  • Process invoices and billing reports and submit claims and reimbursements

Requirements:

  • Proven total experience of 12-15 years as an Executive Assistant and at least 6+ years as an Executive Assistant supporting the top leadership of a large international firm.
  • Extensive and highly complex calendar and global travel management across time zones.
  • Demonstrable experience in the private equity/ investment services industry is advantageous
  • Exceptional sense of ownership and accountability - availability to support and connect with stakeholders round the clock highly preferred.
  • Excellent command of English and communication skills
  • Consistent attention to detail and strong organisational skills
  • Exemplary interpersonal skills and discretion to manage private and confidential information

The successful candidate for this role will receive an extremely competitive salary and is eligible for a discretionary annual bonus based on individual and team performance.
