Job Summary:
As an Executive Assistant, you will be reporting to the Managing Director while playing a pivotal role in overseeing administrative tasks and assisting in key operational aspects. The ideal candidate will possess exceptional organizational skills, an aptitude for multitasking, and a proactive approach to problem-solving.
Responsibilities:
- Provide comprehensive executive and administrative support to the Managing Director, ensuring seamless coordination of schedules and priorities.
- Manage calendars, schedule meetings, and coordinate travel arrangements for executives and visiting clients.
- Handle incoming correspondence, including emails, inquiries, and invitations, responding professionally and effectively on behalf of executives.
- Conduct preliminary research, compile pre-meeting briefs, and summarize information from various sources to facilitate decision-making processes.
- Coordinate and execute various internal and external events, ensuring impeccable planning and execution while liaising with vendors and managing event budgets.
- Assist in the creation of presentations, reports, and other documents using appropriate software and maintaining a high standard of accuracy and professionalism.
- Manage expense reports, billing, and maintain databases with up-to-date and accurate information.
Requirements:
- Proven experience of 3 to 5 years as an Executive Assistant or similar role supporting senior management in a professional services environment.
- Experience in event coordination or hospitality management is advantageous.
- Strong organizational and time management skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Exceptional written and verbal communication skills, along with proficiency in office software applications.
- Detail-oriented approach with a focus on maintaining confidentiality and handling sensitive information.
- Ability to anticipate needs, demonstrate resourcefulness, and exercise sound judgment in decision-making.
