Executive Assistant - Leading Commodities Firm (West)

Our client is a leading commodities firm specialising in sustainability efforts. They are located in the West, and are a fast-growing SME expanding rapidly across the APAC region, with almost $500 million generated in revenue last year. They are deeply committed to environmental and socially conscious initiatives in various fields.

Job Summary:

As the Admin Assistant/ Executive Assistant, you will provide secretarial support to the Managing Director while reporting to the Senior Executive Assistant and assisting her with a wide range of administrative duties. This role is best suited for someone who is a dynamic and efficient go-getter, who is able to take on new and unexpected challenges with grit and enthusiasm. You will be expected to have exceptional communication skills in both English and Mandarin, to liaise closely with stakeholders across APAC.

Job Responsibilities:

  • Manage the MDs diary, including scheduling all internal and external meetings
  • Take meeting minutes as and when necessary
  • Serve as the primary point of contact for various stakeholders across the region, especially in China, and liaise closely with internal stakeholders on behalf of the MD and Senior Executive Assistant
  • Coordinate the MDs travel, including planning itineraries, booking flights and accommodation, and arranging ground transportation
  • Handle expenses and claims
  • Prepare all meeting materials and agendas, and monitor and screen all relevant correspondence

Requirements:

  • Proven experience of at least 3-5 years in secretarial/ administrative duties
  • Excellent interpersonal and written and spoken communication skills in both English and Mandarin, to liaise with our clients Chinese counterparts and clients
  • Outstanding problem-solving and multitasking skills to handle a wide range of tasks quickly and effectively
  • Trustworthy, adaptable, and able to work independently and under pressure
  • Strong proficiency in Microsoft office applications
