Job Summary:

As a Legal Secretary, you will be providing key administrative support to 5-6 fee earners. Key Responsibilities:

  • Provide secretarial support to 5-6 fee earners, including scheduling appointments, meetings, and screening all incoming and outgoing communications.
  • Coordinate all travel and submit expenses and claims in line with firm policies.
  • Track and manage all documents and actions required for financial transaction closings, including formatting and preparing draft agreements.
  • Ensure timely completion of signatures, notarizations, and regulatory filings.
  • Organize and compile closing binders post-transaction.
  • Track time entries and draft and finalise monthly billing narratives.
  • Maintain confidentiality and exercise discretion in handling sensitive information.

Requirements:

  • Proven experience of minimally 5-10 years as a Legal Secretary in a reputable law firm is required, preferably with some exposure to an offshore set up.
  • Exemplary spoken and written communication skills in English are essential.
  • Proficiency in handling legal documentation is a must, and a familiarity with banking and finance processes is highly advantageous.
  • Proactive, structured, driven and capable of juggling multiple priorities and timezones at once, with excellent cross-cultural communication skills
  • Able to work both independently and collaboratively as a team player.
  • Demonstrates resilience and the ability to perform effectively under high-pressure situations with exceptional professional conduct and discretion
