About the job Executive Assistant (Support Level)
1. Administrative and Office Management:
Oversee all administrative tasks and office management.
Manage and maintain an efficient filing system.
Prepare minutes or notes from meetings for management reference.
Attend meetings, conferences, and training sessions as directed by
management.
Coordinate and monitor office and conference room calendars.
Complete daily opening and closing checklists to ensure office preparedness.
2. Services Assistance:
Provide support for essential services, including internet, utilities, communication,
and beverage packages.
3. Mail and Call Handling:
Handle incoming mail: receive, log, sort, and distribute. Coordinate with courier
services for mail and package handling.
Manage and attend to client calls daily.
4. Facility and Document Management:
Arrange facility schedules and maintain the organization of documents and files.
Prepare and collate basic daily reports.
Serve as a liaison both within and outside the company as directed by
management.
Ensure the cleanliness and overall appearance of office spaces.
Monitor and update facility booking records daily.
5. Liaison and Coordination:
Act as the liaison between vendors, suppliers, applicants, and any third parties
involved in office-related errands.
Manage and file contracts, forms, and other documents daily and weekly.
6. Additional Support:
Assist the Team in the absence of a team member and support other
departments as needed.
Provide assistance in sales, attend events as a company representative, and
process administrative documents related to the building (e.g., parking).
Support the Team Managers with additional tasks as required.
