About the job Executive Assistant (Strategic Level)
1. Executive Support:
Deliver high-level administrative support to the Director, including managing
intricate calendars, arranging high-stakes meetings, and coordinating travel
logistics.
Draft and prepare detailed reports, presentations, and correspondence for the
Director.
Serve as the primary point of contact for the Director, managing inquiries and
communications with utmost discretion and efficiency.
2. Administrative and Office Management:
Oversee all administrative tasks, front desk operations, reception duties, and
office management for A-Manage.
Maintain an impeccably organized filing system.
Record and distribute minutes or notes from executive meetings for management
reference.
Attend high-level meetings, conferences, and training sessions as directed by the
Director.
Coordinate and manage office and conference room calendars, ensuring optimal
scheduling and resource allocation.
Complete daily opening and closing checklists to ensure office readiness.
3. Core Services Assistance:
Support essential services, including internet, utilities, communication, meals,
and beverage packages.
4. Mail and Call Handling:
Manage incoming mail with efficiency: receive, log, sort, and distribute.
Coordinate with courier services for mail and package handling.
Handle and prioritize calls, screening and directing communications as needed
for the Director.
5. Facility and Document Management:
Arrange facility schedules and meticulously organize documents and files.
Prepare and compile advanced daily reports for executive review.
Act as a liaison both within and outside the company as directed by the Director.
Ensure the cleanliness and overall presentation of office spaces.
Monitor and update facility booking records daily.
6. Liaison and Coordination:
Serve as the liaison between A-Manage, vendors, suppliers, applicants, and any
third parties involved in work-related errands.
Manage and file contracts, forms, and other critical documents daily and weekly.
7. Project Management:
Assist with high-priority projects and initiatives as directed by the Director,
including research, analysis, and follow-up.
Coordinate and track project milestones and deadlines, ensuring timely
completion.
8. Additional Support:
Provide high-level support to other departments and teams as required, including
assisting in sales, representing A-Mange at events, and managing administrative
documents related to the office (e.g., parking).
Support the Director in preparation for board meetings, executive presentations,
and other high-profile engagements.
