Company Secretarial Officer

Manpower Malta is seeking to recruit a Company Secretarial Officer to join our client's team.

The Company Secretarial Officer will provide corporate secretarial support to a portfolio of client companies while ensuring compliance with Maltese company law and corporate governance requirements. Working closely with the Company Secretarial Manager, the selected candidate will assist in delivering high-quality company secretarial services, maintaining statutory records, coordinating corporate governance activities, and supporting regulatory compliance.

This role requires a highly organised and detail-oriented professional with excellent communication skills and the ability to manage multiple priorities while maintaining confidentiality and delivering exceptional client service.

Responsibilities:

  • Manage statutory registers, prepare corporate governance documentation, and coordinate board and shareholder meetings in compliance with Maltese legislation.
  • Assist with statutory filings, annual returns, company incorporations, restructurings, share transfers, and other corporate changes while ensuring all deadlines are met.
  • Act as a point of contact for assigned clients, providing company secretarial support, coordinating governance matters, and maintaining strong professional relationships.
  • Support regulatory compliance by liaising with authorities, maintaining accurate corporate records, monitoring legal updates, and assisting with governance-related risk management.
  • Assist the Company Secretarial Manager with day-to-day operations, client onboarding, KYC documentation, and continuous improvement initiatives within the department.

Key Requirements:

  • Previous experience in a Company Secretarial, Corporate Services, Legal, or Governance role.
  • Good knowledge of Maltese Company Law, corporate governance principles, and statutory filing requirements.
  • Excellent organisational skills with strong attention to detail and the ability to manage multiple deadlines.
  • Strong communication and interpersonal skills with a professional and client-focused approach.
  • Proficiency in Microsoft Office applications and the ability to handle confidential information with discretion.
