Overview
Manpower is seeking to recruit a Japanese Sales & Operations Coordinator to join our client's team.
The main function of this role is to manage the Japanese segment and ensure that the agreed targets for this segment are achieved on an annual basis. The employee will also be responsible for the day-to-day management of the Japanese team and ensure all tools necessary to promote effectively to the Japanese market are kept current and customer friendly.
The Sales & Operations Coordinator is responsible both for the pro-active selling and operation of all groups into Malta focusing on ensuring the Special Interest Travel Limited experience is of the highest level at all times.
Job Responsibilities:
- To provide the best possible customer service when answering phone calls and email requests in providing response to customer within 24 hour period. If proposal cannot be sent within this time then client should be advised as to when he/she can expect to receive proposal.
- To contact hotels to secure best possible rates.
- To contact all other suppliers necessary to facilitate proposalson to obtain best possible rates and creative offers for excursions/events etc.
- To send details to General Manager once business has been confirmed.
- To develop effective trace system in order to follow up outstanding proposals with view to securing the business for Special Interest Travel Limited over other competitors.
- To forward rates to new Operators and Travel Agents as necessary.
- To process all bookings for groups once business has been secured i.e. booking for venues, information run down for each group to be developed and communicated to representative.
- To follow up with representative and to ensure everything is going according to plan for the client.
- To contact client and ensure that Special Interest Travel has given a good service throughout the groups stay, also to seek other opportunity for other bookings.
- To pass on information to relative party i.e. rep, hotel if any problems arise.
- To forward costing sheet to the Accountant & pro-forma invoice to the Accounts Executive for SIN number.
- To check invoices received from suppliers and forward them to the Accountant/Data Processing Clerk.
- To participate in monthly Sales Meetings presenting key information relating to this key segment for Special Interest Travel Limited.
- To provide data to ensure accurate forecasts are maintained and reported on a monthly basis.
- To focus on developing contingency plans and special promotions in order to achieve agreed Gross Profit targets.
- To manage the marketing and sales expenditure as per budget for the Japanese segment.
- To ensure all marketing and sale collateral targeted to the Japanese market is current and customer friendly.
- To provide coaching and feedback as required for Japanese team members and representatives to ensure close communication is maintained at all times and focus on achieving best possible team spirit at all times.
- To assist with inspection visits and outside duties with groups when in Malta as necessary.
- To carry out cold calling on a daily basis.
- To assist in the preparation of sales proposals, reports and research.
Requirements:
- Have sales acumen coupled with excellent communication and presentation skills;
- Be well organized and have previous experience in coordinating group and FIT travel;
- Be customer care oriented and have an outgoing personality;
- Be an energetic team player with a positive attitude and enjoys being with people;
- Be willing to work flexible hours;
- Be ICT literate.
- A very strong command of written and verbal English and Japanese is essential.
Preference will be given to candidates having experience in a similar role and possessing a clean driving licence.
