About the Role

We're seeking a strategic Project Administration Officer to support our Enterprise Project Management Office (EPMO). This is a high-visibility role that goes beyond coordinationyou'll be the operational backbone of the EPMO, driving governance, portfolio oversight, and executive-level reporting.

This role requires someone who can act as a bridge between project teams, EPMO leadership, and senior stakeholders, ensuring strategic alignment, visibility, and accountability across the portfolio. You'll own the systems, processes, and reporting that enable informed decision-making at the executive level.


Key Responsibilities

Strategic Governance & Portfolio Management

  • Own and maintain enterprise OKRs, tracking progress and alignment with business strategy

  • Drive strategic project governance frameworks, ensuring consistency and standardisation across the portfolio

  • Monitor portfolio health, capacity, and resource risks, surfacing early warning signs proactively

  • Maintain portfolio-level visibility across all projects, identifying dependencies, risks, and alignment issues

  • Hold stakeholders accountable by tracking commitments and asking the hard questions

Executive Reporting & Data Visualisation

  • Produce executive-ready reports, dashboards, and board packs that distil complex information into actionable insights

  • Create data visualisations that drive decisions, not just report status

  • Present portfolio insights to senior leadership with confidence and clarity

  • Translate project data into strategic narratives that executives care about

Smartsheet Mastery & Automation

  • Design and maintain advanced Smartsheet solutions, including dashboards, automated workflows, formulas, and reporting

  • Standardize and continuously improve Smartsheet governance across the EPMO and broader business

  • Train and support others in using Smartsheet effectively

  • Drive data quality and consistency improvements across the platform

Stakeholder Management & Influence

  • Engage confidently with executives, project managers, and cross-functional teams

  • Challenge the status quo and escalate issues when needed

  • Build relationships across the business to deliver EPMO objectives

  • Facilitate difficult conversations about prioritization, resource allocation, and trade-offs

Process Improvement & Initiative Tracking

  • Drive continuous improvement of EPMO processes, templates, and standards

  • Track team initiatives and business goals, ensuring alignment and progress

  • Identify opportunities to enhance portfolio visibility, governance, and decision-making

  • Operate autonomously, creating structure and clarity where needed

Essential Requirements

  • Advanced Smartsheet expertise, including dashboards, automation, formulas, and workflowsthis is non-negotiable

  • Data visualisation and presentation skillsability to create executive-ready materials that drive decisions

  • 4-7 years of experience in PMO, EPMO, or strategic project coordination roles

  • Portfolio-level thinking: understanding of governance, prioritization, and strategic alignment beyond individual projects

  • Proven ability to engage with and influence senior stakeholders and executives

  • Strong analytical skills with the ability to turn data into insights and recommendations

  • Confidence to challenge, escalate, and hold stakeholders accountable

  • Self-starter who can operate independently and create clarity in ambiguity

  • Excellent written and verbal communication skills

Highly Valued

  • Bachelor's degree in Business Administration, Project Management, or related field

  • Experience supporting executive leadership teams

  • Knowledge of Agile, hybrid, or waterfall project methodologies

  • Familiarity with Power BI, Jira, Confluence, or Microsoft Project

  • Project management certifications (CAPM, PRINCE2, AgilePM)

  • Experience implementing governance frameworks or PMO standards

  • Change management experience: training, influencing, measuring adoption

  • Background in capacity planning and resource management
