About the job Administration Assistant
Roles and Responsibilities:
- Utilize Gentu and Snap forms for managing patient tasks.
- Schedule patient appointments and send booking confirmations via email.
- Obtain required information from other practices for patient records.
- Send screening and registration forms, as well as questionnaires, to patients.
- Accurately enter new patient details, including billing address, referrer information, Medicare details, secondary contact, and payment details.
- Save results and upload documents into PowerApp for patient files.
- Log and track practitioner tasks for efficient workflow management.
- Send theater booking forms to patients for theater lists.
- Ensure the quality control of medical records and related systems.
- Maintain the privacy and confidentiality of all patient and referrer information.
Required Experience:
- Prior experience in reception or administrative roles.
- Familiarity with computerized billing and receipting systems.
- Proven ability to work effectively both independently and as part of a team.
- Experience working in a fast-paced, high-pressure environment with fluctuating workflow demands.
Minimum Qualifications:
- Proficient in Microsoft Office/365 applications.
- Strong written and verbal communication skills with clinical and non-clinical personnel.

- High attention to detail and the ability to maintain accuracy in all tasks.

- A comprehensive vocabulary and strong English communication skills to ensure clear interactions with the Australian-based team.
Proficient With:
- Medical software programs such as Gentu, Snap forms, PowerApp, and Teams.
- Telegram for after-hours communication.
Experience Advantage:
- Familiarity with Australian healthcare practices or terminology.
- Exposure to medical records management or similar administrative roles.
