The Lyon County Department of Community Corrections is now hiring for a full time Secretary. This is a full-time, non-exempt position with benefits including paid time off and health, dental, vision, and life insurance. Salary starts at $16.50/hr.
The Secretary will provide routine clerical assistance for the Community Corrections Department. This position maintains office calendars, handles department correspondence, compiles and maintains case files, and interacts with probationers as the first point of contact in the office. This position requires a high school diploma or equivalent and two years of work experience. Applicants must have strong verbal and written communication skills and be proficient with Microsoft Word, Excel, and general office equipment and procedures. Applicants must have and maintain a valid Class C drivers license.
Successful candidate(s) will be required to pass pre-employment tests including a background check, physical exams, and drug screen prior to hire.

JOB DESCRIPTION:
- JOB SUMMARY: This is a non-exempt position*. This position reports to the Administrative Assistant of Community Corrections. The position is responsible for the reception area and provides routine clerical and secretarial assistance, including appointments, correspondence, compiling files, recording statistics and filing for the department.
The roles, responsibilities, job functions, knowledge, skills, and abilities set forth herein may be revised from time-to-time in order to comply with federal and state laws, departmental needs and the changing requirements for this position.
- ESSENTIAL FUNCTIONS:
- Assists with maintaining officers calendars, scheduling appointments and meeting rooms.
- Is the first contact with probationers when they arrive to the office.
- Assists with making routine travel and accommodation arrangements and maintains mileage logs.
- Types routine correspondence and reports using personal computer.
- Picks up and delivers materials as required.
- Opens, sorts and screens mail.
- Operates office equipment such as photocopier, fax machine, and calculator.
- Operates personal computer to access e-mail, electronic calendars, and other basic office support software.
- Answers telephone, screens callers, and relays messages.
- Compiles case files for probation cases.
- Completes filing and locates material from files.
- Observe UAs as needed.
- Office errands.
- Receives SB123 billing and provider agreements and distributes to Sentencing Commission for provider payment.
- Knowledge of appropriate documents for court requested actions (record check, pre-sentence investigation, pre-disposition report, etc.) for adult and juvenile cases.
- Ability to answer general questions and requirements of clients about Pre-trial Supervision and Community Corrections Probation.
- Knowledgeable of procedures for Pre-trial Supervision, Adult Intensive Supervision Probation, Juvenile Intensive Supervision Probation, Standard Juvenile Probation, Kansas Department of Corrections-Juvenile Services and Juvenile Correctional Facility supervision.
- Other office duties as assigned.
- Knows the informal policies, procedures and practices necessary to conduct the normal functions of the agency secretary.
- QUALIFICATIONS:
- Decision Making: Carries out routine duties and responsibilities with supervision, makes decisions and establishes work priorities on essentially procedure-oriented operations.
- Supervisory: Does not direct the activities of staff or a function.
- Communication: Exchanges routine information in an appropriate manner requiring good oral and written communication skills.
- Knowledge: Must have the ability to receive, interpret and follow verbal and written instructions. Required to read, write and speak English fluently with the ability to speak a foreign language helpful. Must be proficient in Microsoft Office Word and Excel. Should acquire knowledge of laws and regulations pertaining to Community Corrections.
- Qualifications: Requires a valid Class C drivers license.
- Education: High school diploma or GED
- Experience: Twelve months work experience preferred.
- Physical Requirements: Requires sufficient visual acuity to be able to read and write and operate equipment common to this position. Requires sufficient hearing level to be able to effectively communicate with people directly or by telephone. Frequently required to lift items weighing up to 25 pounds to a height of 84 inches.
