8- Hour Shift, Monday Friday
Position Summary
Provides administrative support to the Director of Marketing and the Marketing team. This includes, but is not limited to, creating and coordination team events and project calendars, organizing meeting and events, and receiving and processing invoices for payment. Creates presentation materials, correspondence, and reports, oversees LSTA Co-op program claims and payments, and makes travel arrangements for the Marketing team. Organizes reports that track expenditures to budget.
Position Duties and Responsibilities
Team Events and Calendars. Creates team calendars to include individual schedules and event schedule to coordinates activities with multiple parties, both internal and external. Ensures coordination of stakeholder availability to participate with no conflicts.
Organizing Events. Works with event planning teams at LSTA and with LSTA Dealers, organizing and coordinating meetings and events to maximize efficiency and event effectiveness.
Invoice Processing. Receives and processes invoices for Marketing Department and related functions and events. Secures approvals and requests payments. Follows up to ensure timely payments to dealers and vendors. Tracks spending to relevant budgets.
Creates and Edits Presentations. Uses various media to create and edit presentations and marketing materials following direction from Marketing team. Proofs presentations and marketing materials. Demonstrates proficiency with PowerPoint and other related media.
Correspondence and Reports. Drafts and prepares correspondence and other documents for the Marketing team. Develops and updates reports. Tracks and reports budget utilization against spending.
LSTA Co-Op Program. Oversees administration of LSTAs Co-op program for dealer marketing activity. Receives and processes co-op claims for approval and payment to dealers. Tracks co-op utilization against budgets.

Minimum Requirements:
Education and Experience Required
Required High School Diploma or equivalent, prefer bachelors degree.
3 years experience in an office environment, providing administrative support, including reports and data preferably to sales or marketing teams.
Requires 2 years of experience developing and editing presentations and communication pieces.
Prefer experience using SAP or LWS or similar data systems.
Skills, Knowledge and Abilities Required
Strong organizational and planning skills, including time management and work prioritization.
Resourcefulness and problem-solving aptitude
Excellent communication skills
Requires advanced computer skills with Microsoft Office, particularly Excel and PowerPoint.
