Lotus Group has partnered with our valued and established client in the civil construction industry to identify a highly skilled and qualified Executive Assistant. The Executive Assistant will excel in supporting the CEO while managing high-level business operations and objectives with discretion and professionalism. This role will be a hybrid position with flexibility to work in office or remotely as needed around the CEOs schedule. The ideal candidate is highly organized, adept at time management, and plays a key role in enhancing business efficiency through proactive and personalized support. Success in this role requires proven experience in fast-paced environments that demand diligence, adaptability, and professionalism. This individual possesses a resourceful, problem-solving mindset with a can-do attitude, ensuring tasks are completed independently and effectively.

Role Responsibilities:

  • Manage the CEOs schedule, calendar, and appointments, ensuring optimal time management.
  • Screen and prioritize calls, emails, and requests, responding when necessary.
  • Draft and distribute internal communications on behalf of the CEO.
  • Arrange domestic travel, including flights, accommodations, and itineraries.
  • Prepare and organize meetings, minutes, presentations, and reports for internal and external use.
  • Draft, review, and proofread emails, letters, and other business documents.
  • Maintain and organize confidential records and files related to company operations.
  • Serve as the point of contact between the CEO and internal/external stakeholders, including but not limited to executives, clients, and vendors.
  • Facilitate cross-departmental coordination to ensure seamless daily operations.
  • Perform a broad variety of administrative tasks, including but not limited to supporting expense reports, event planning, itineraries, and agendas.
  • Aid with various company projects and processes as needed.

Role Requirements:

  • Minimum 5 years of experience as an Executive Assistant, directly supporting senior management
  • Drivers license and reliable vehicle required
  • High School Diploma required
  • Advanced knowledge of Google platform with the ability to quickly learn and leverage company-specific programs and software
  • Capability to work outside of than a standard 9 AM to 5 PM schedule with the understanding that the workload may fluctuate based on the nature of the business and time of year
  • Degree, diploma, or certification in administration or relevant fields an asset
  • Experience in construction, heavy equipment, or reclamation industries an asset
  • Willingness to travel 1-2 times a month is preferred
  • Experience supporting multiple businesses or business units is beneficial
