Payroll & Bookkeeping Administrator
Job Description:
Payroll & Bookkeeping Administrator
Location: Approximately 20 km North of Edmonton, AB
Lotus Group has partnered with a successful, established trucking company to recruit a Payroll & Bookkeeping Administrator.
This is a key position within a small, close-knit organization, responsible for payroll, bookkeeping, accounting administration and supporting the day-to-day needs of the office. The successful candidate will work closely with the current incumbent during a transition period, with the opportunity to take on greater responsibility and become an important part of the company's long-term succession plans.
This is an ideal opportunity for someone who enjoys autonomy, takes pride in keeping things organized, and wants to be a trusted part of a smaller business.
The Role
Payroll is an important focus of this position, along with day-to-day bookkeeping and accounting administration. All payroll and accounting is currently completed in QuickBooks, so strong hands-on QuickBooks proficiency is required.
Key Responsibilities:
- Process and administer biweekly payroll
- Manage accounts receivable and day-to-day bookkeeping
- Complete GST remittances and maintain accurate financial records
- Complete monthly bank and account reconciliations as the role develops
- Support year-end requirements and work with the company's external accounting resources
- Coordinate monthly safety meetings, including scheduling, documentation, minutes and record keeping
- Provide administrative support for safety audits, WCB/contractor documentation and other compliance requirements
- Assist with employee documentation and performance review administration
- Support general office organization and recurring administrative requirements
- Assist with company and client events as required
What You Bring
- Approximately 3–5 years of relevant bookkeeping and payroll experience
- Strong proficiency with QuickBooks for payroll and accounting
- Solid understanding of bookkeeping and basic accounting principles
- Experience with payroll remittances, GST, reconciliations and financial record keeping
- Strong organizational skills, accuracy and follow-through
- Ability to work independently and take ownership of responsibilities
- High degree of discretion, dependability and professionalism
- A positive, approachable style and the ability to build relationships with employees, drivers and operations
Experience in trucking, transportation, construction or another operational environment would be an asset, but is not required. More important is an interest in learning the business and becoming a trusted member of the team.
The Environment
This is a small, family-feel office with a shared workspace and casual dress code. It's friendly, informal and collaborative, so the successful candidate needs to be comfortable working closely with others rather than in a private or highly corporate office setting.
The role will initially be office-based while the successful candidate learns the business and builds relationships. There may be potential for some hybrid flexibility once the individual is fully trained and established in the role.
Why Consider This Opportunity?
This is more than a transactional payroll and bookkeeping position. The company is planning for the future and wants someone who can grow with the organization and become part of its succession plan.
You'll have the opportunity to learn directly from the current incumbent, gradually take ownership of additional responsibilities, and become a trusted resource within the business. For someone who values autonomy, flexibility and being an important part of a smaller organization, this offers genuine long-term potential.
