Position Overview:

We are seeking a highly organized and detail-oriented Client Relations Admin Assistant. In this role, you will support the VP of Client Relations and the Client Relations Manager with administrative functions and assist to ensure smooth operations across various teams. This role is ideal for someone who thrives in a fast-paced environment and excels at managing multiple priorities.

Key Responsibilities:

  • Administrative Support: Perform general administrative duties, such as document preparation, filing, proofing, editing, time management, notarizing, and other tasks that support day-to-day operations.
  • Calendar Management & Coordination: Manage and coordinate schedules and calendars for team members, including organizing meetings, appointments, and events, lunch & learns with vendors.
  • Team Communications: Facilitate communication across teams to maintain alignment, distribute information, and ensure team members have the resources they need.
  • Data Entry & Expense Record-Keeping: Maintain accurate data records and track expenses, ensuring compliance with corporate standards and timely documentation.
  • Corporate Equipment Management: Oversee the allocation, maintenance, and inventory of corporate equipment, ensuring that team members have the necessary tools for their roles.
  • Client Relations Support: Provide administrative support to clients, ensuring clear communication, prompt responses, and effective issue resolution.
  • Violations & Portal Setup: Handle the setup of client portals and coordinate the documentation of violations to ensure streamlined processes and accurate record-keeping.
  • Vendor Coordination: Liaise with vendors for service scheduling, contract management, and issue resolution, ensuring high-quality service delivery and efficient vendor relationships.
  • Any additional tasks or duties as assigned.

Qualifications:

  • High School Diploma or equivalent (preferred).
  • Previous experience in administrative support, client relations, or a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Experience in vendor coordination or project management.
  • Familiarity with data entry and basic expense tracking.

Schedule:

  • Full-time
  • Monday- Friday, 8:00 am- 5:00 pm
