We are seeking an experienced Contract Database Administrator to join our clients fast-growing team, whose mission is to ensure contracts creation and updates in the Easypics contract database tool, to oversee the tools administration, and to assure data quality through alignment with the Category Managers and Business Owner.
Role Summary:
- The Contract Database Administrator ensures Third Parties Vendors contract Management of our clients group, in more than 10 countries, and through a centralized approach.
- The Contract Database Administrator enforces efficient contract processing, which involves creating & updating contracts, collecting missing data and ensuring data quality through a strong alignment for complex contracts (mainly IT contracts) with Category Managers located in Paris, and with the P2P Order Managers located in Bucharest.
- He/She ensures Easypics tool functional administration: creating users, maintaining the tool functional documentation, working on evolutions of the tool with the IT team, and answering Business Owners questions on the display of their contracts in Easypics.
- He/She strongly cooperates with the TPRM (Third Party Risk Management) team to support regulatory requirements and reports on IT contracts.
- The position also requires compliance with company policies & regulatory requirements, and rigor to support documentation accuracy.
- TOOLS to be used: Easypics (contract database tool), SAP Ariba, Formalize (TMRP tool) , Microsoft Pack Office.
- Most of contracts tackle IT and Consulting commodities, but aso General Services and HR
Key Duties and Responsibilities:
- Create contracts in the tool Easypics (estimated 80% of the time for the position)
- Collect information and documents from 4 different sources related to each PO & signed contract
- Check data quality & consistency for each contract
- Align with buyers /business owners for missing or non-qualitative information, where relevant
- Create the contract in Easypics and upload required documents, or update contracts for amendments
- Modify contracts in the tool Easypics when requested
- Monitor contracts created in the tool Easypics
- Build and extract reports from Easypics for recurring questions on contracts, activity follow up with TPRM reporting needs, and KPIs
- Perform follow up of contract not created due to information missing, to ensure the completeness of the contract database
- Align with TPRM team related to data quality, regulatory reports questions and any support to ensure TPRM team meet regulatory requirements on reporting of IT contracts.
- Archive the terminated contracts
- Archive the contracts that are terminated and for which the business owner/Buyer confirmed there is no renewal
- Review of contracts terminated to archive (once a year control)
- Administrate Easypics contract database
- Support Easypics evolutions and tests, and user manual update
- Ensure regular updates of the Group Procurement/TPRM teams on Easypics evolutions
- Authorization rules: maintain list of buyers and business owners of the contracts that can access the contracts (in consultation, of creation/modification)
Required experience & competencies

- Curious, capacity & appetite to understand contracts data (contracts for IT, consulting, information mainly, in various languages)
- Proactivity to propose process improvements (due to the large type of data to manage)
- Experience in working in a global environment
- Good interpersonal and communication skills
- Fluent English mandatory + French speaker is a plus
- Skills in Excel or database management is a plus
- Bachelors Degree
