Athena Blue Global is seeking a high-performing, systems-driven operator to join as Sr 
Project Management Office (Construction) & Executive Support. 


This role sits at the intersection of project delivery, data, systems, and executive 
operations, supporting a U.S.-based construction project management team while acting 
as a force multiplier to the Managing Director.

Project Management Office (Construction) – Core Function 
• Act as a central coordination hub for U.S.-based construction project teams, 
driving consistency, structure, and execution  
• In consultation with US PM team: 
o  own and maintain project schedules, trackers, and reporting frameworks 
across multiple concurrent projects  
o Manage and track change orders, approvals, and supporting documentation 
with precision  
o Lead project administration, ensuring documentation, communication, and 
workflows are clean, current, and audit-ready  
o Support finance team with billing workflows, including data preparation, 
validation, and coordination  
o Maintain structured communication with general contractors, consultants, 
and internal stakeholders  
o Proactively track risks, dependencies, and action items, ensuring nothing 
falls through the cracks  


Systems, Data & Platform Ownership 
• In consultation with team members take full ownership of operational data across: 
o Smartsheet (primary PMO system, dashboards, reporting)  
o Pipedrive (pipeline and CRM visibility)  
o Harvest / Forecast (time, resourcing, financial tracking)  
• Ensure data integrity, consistency, and real-time accuracy across all platforms  
• Build and continuously improve dashboards, reporting systems, and workflow 
trackers  
• Design systems that reduce manual work and improve visibility across the business  
• Identify and eliminate inefficiencies in data flow, reporting, and coordination 
processes  


AI, Automation & Workflow Optimization 
• In consultation with our US based Platform Engineer: 
o Actively leverage AI tools (ChatGPT, Claude, Gemini) as part of daily 
workflows  
o Design and implement AI-assisted processes for reporting, communication, 
and coordination  
o Build or support AI agents and automations to streamline repetitive 
operational tasks  
o Identify opportunities to integrate tools and reduce manual effort across 
systems  
o Continuously push toward a more automated, scalable PMO function  
 
Global Coordination 
• Operate effectively across U.S. and international teams and time zones, working 
U.S Pacific Time or close to it.  
• Ensure alignment, accountability, and clarity across all stakeholders  
• Act as a connector between leadership, project teams, and systems  

Qualifications & Experience 


Required 
• Proven experience in a PMO, Project Coordination, or Operations role (construction 
or similar preferred)  
• Exceptional written and verbal English  
• Advanced organizational and execution capability  
• Strong proficiency in Excel and data-driven workflows  
• Demonstrated ability to manage multiple complex workstreams simultaneously  
• Exposure to AI tools in a professional context  


Highly Regarded 
• Experience working with U.S.-based companies or teams  
• Background in construction, architecture, or real estate project environments  
• Deep experience with Smartsheet (including dashboards and automation)  
• Familiarity with Pipedrive, Harvest, and/or Forecast
