The Human Resources Coordinator – NE supports multiple areas of the Human Resources function with primary responsibilities in supporting the Talent Acquisition and HR Operations Teams by performing the following duties.

  • Provides coordination activities in support of Human Resources initiatives, including but not limited to Talent Acquisition, HR Operations, or other essential areas within the larger HR team;
  • I-9 collection and management, employment verifications, and ongoing audit requirements. Processes I-9 Forms and conducts E-Verify for appropriate states;
  • Communicates onboarding activities to hiring managers, human resources, information technology team and candidates as needed;
  • Compiles data from personnel records and prepares reports, including weekly/monthly/quarterly staffing reports, and various Ad Hoc reports; manages candidate files after new hire process;
  • Maintains positive relationships with outside agencies and educational institutions;
  • Supports communication for contracted approved temporary agencies;
  • Coordinates background checks and pre-employment drugs screens with a Background Screening Vendor;
  • Handles confidential information;
  • Assists with coordination of new hire orientation and updates new employee files in HRIS system;
  • Assists with company Intern Programs and Externships, when approved
  • Assists in the creation of contract positions for Temporary Staffing Agencies, and Independent Contractors in our HRIS system;
  • Notifies appropriate individuals of employees onboarding and offboarding;
  • Creates and distributes standard and ad-hoc reports, as required
  • Assists and supports the Human Resources team in projects, processes, workflows, documentation and other necessary activities across functions, e.g. talent acquisition;
  • Supports internal and external stakeholders, as needed;
  • Serves as backup for HRIS Specialist and HR Department Support Assistant, as needed; ensures cross-functional training and back up of all assigned duties

Education and/or Experience

  • BS/BA and 1+ years’ experience or equivalent combination of education and experience

Computer Skills

  • To perform this job successfully, an individual should have a working knowledge of Applicant Tracking Systems, online background screening systems or any combination of similar systems experience as well as strong competencies in Microsoft Office Suite (Outlook, Word, Excel). Knowledge of Visio, PowerPoint, and Adobe Acrobat is a plus.

  • Working knowledge of hiring practices and federal and state employment laws preferred

Work Location

  • This position works on-site at the San Diego Headquarters or other company location (or from a remote location with management approval based on business requirements). Must provide adequate support to internal clients; be available for regular interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as be available to facilitate effective decisions through collaboration with stakeholders.

Working Hours

  • This is a full-time non-exempt position requiring one to be able to work overtime from time to time in order to get the job done.  Therefore, one must have the ability to work nights, weekends or on holidays as required.  This may be changed at any time to meet the needs of the business.  The typical working hours for this position are Monday through Friday from 8:00am to 5:00pm.

Travel

  • This position requires no travel however attendance maybe required at various local conferences and meetings.
