I. POSITION PURPOSE:
The HRIS Specialist is the HR subject-matter expert for the HRIS during implementation, go-live, and stabilization.
The role provides expert hands-on execution, guidance, and problem resolution across HRIS processes and HR data, ensuring high-quality delivery and a smooth user experience.
MAJOR ACCOUNTABILITY:
KEY MEASUREMENT:
HRIS Implementation & Go-Live (Expert Execution)

Act as the HRIS expert for HR during implementation and go-live phases.

Provide authoritative guidance on system usage, data structures, and HRIS processes.

Lead execution of HRIS testing activities, including test design, execution coordination, defect analysis, and validation.

Support go-live readiness and post-go-live stabilisation as the primary HRIS reference point.
HR Data Migration & Data Integrity

Act as the HR expert for HR data migration activities.

Lead HR-side data extraction, preparation, mapping, and validation in collaboration with regional HR teams.

Execute and control data loads for different implementation phases and tenant builds.

Perform post-migration audits, reconciliation, and exception management to ensure data accuracy and completeness.

Ensure correct handling of employee master data and related HR datasets (recruitment, learning, historical records).
Data Security, Compliance & Controls

Apply and monitor HR data security and privacy measures throughout implementation and operations.

Identify data anomalies, risks, and compliance gaps, and drive resolution with relevant stakeholders.

Ensure HRIS usage aligns with data governance, privacy, and regulatory requirements.
HRIS Documentation & User Enablement

Develop and maintain HRIS documentation, user guides, and process references.

Translate system functionality into clear, HR-usable guidance.

Provide expert support to HR users, acting as a trusted reference during adoption and stabilization.
Stakeholder Collaboration

Act as the HRIS expert working with HR and IT.

Provide informed input into HRIS design, configuration, and enhancement discussions.

Escalate complex issues with clear analysis and recommended options.
I. BUSINESS EXPERTISE:

Strong understanding of HR processes, HR data models, and HRIS system logic.

Proven experience with Workday HCM or a comparable enterprise HRIS.

Hands-on experience with HR data migration, validation, and audits.

Good understanding of HR reporting and data structures.
II. MATRIX ORGANISATION / FUNCTIONAL LEAD

Collaborates with HRIS project management team, data lead, and regional HR teams.

V. QUALIFICATIONS AND EXPERIENCE:

Bachelor’s degree in Human Resources, Information Systems, or a related field.

4+ years of experience in HRIS roles, including implementation and/or major upgrades.

Strong hands-on experience with Workday or a similar HRIS platform.

Proven experience with HR data migration and system testing.

Experience working in Japanese or global matrix environments is an advantage.

Experience with data audits, reporting, and documentation.

Familiarity with integration platforms like Workday is a plus.

Authorized to work lawfully in the relevant jurisdiction.
