The Buying Data Administrator is responsible for the accurate and efficient entry and maintenance of product, supplier, and purchase order data. The ideal candidate will manage data‑driven and process‑focused tasks with strong attention to detail, ensuring accuracy, compliance, and smooth workflow execution across the buying cycle.
Specifications
· Blackout Period for annual leave in peak periods. This will be discussed at the time of the interview.
· Office Attire: Smart casual.
· Monday to Friday. Occasional out of hours when required.
· Travel required interstate/overseas as required.
Key Responsibilities
Area of Responsibility 1 – PO & Range Plan Management
· Enter and maintain accurate SKU and purchase order data, including product details, supplier information, product types, group/sub‑group numbers, FOB dates, delivery details, and order quantities.
· Arrange raised purchase orders to be emailed to the relevant suppliers in a timely and accurate manner.
Area of Responsibility 2 – Critical Path Reporting
· Coordinate weekly Critical Path (CP) updates with suppliers, ensuring timelines, milestones, and shipment details are tracked accurately in the system.
· Follow up on outstanding actions and support Buyers with data accuracy for procurement and inventory reporting.
Area of Responsibility 3 – eComm Attributes Management
- Complete all eCommerce product attributes, including product names, descriptions, dimensions, packaging measurements, and other online‑required data fields.
- Ensure all data entered matches procurement details and maintain a high level of accuracy to support online product readiness.
Area of Responsibility 4 – Collection Storyboard Drafting
· Prepare and draft collection storyboards, including Visual Range Plans (VRPs) and New Product Information Sheets (WNIS), ensuring all details are clear, accurate, and delivered on time.
Support Buyers through consistent and accurate data entry, contributing to informed decision‑making and maintaining compliance across product and supplier documentation.
Qualification & Skills
· Proven experience in a technical role with in-depth knowledge of raw materials, formulations, and manufacturing processes.
· Strong understanding of product manufacturing regulatory requirements
· Demonstrated project management skills
· Excellent communication and interpersonal skills to collaborate effectively with internal teams and external suppliers.
· Attention to detail, problem-solving mindset, and a passion for maintaining high product quality and compliance standards.
