The Pre-Hire Onboarding Specialist plays a critical role in delivering a smooth and compliant onboarding experience for incoming employees. This role is responsible for managing the pre-hire process, including ticket triage, offer approvals, background checks, and right-to-work compliance. The Specialist ensures timely and accurate handling of all candidate-related inquiries, collaborates with internal teams to resolve complex issues, and supports onboarding logistics such as travel coordination. By maintaining a high standard of service and identifying process improvement opportunities, the Pre-Hire Onboarding Specialist helps optimize the pre-employment journey and enhance operational efficiency.

  • Ticket Triage: Efficiently manage and respond to pre-hire related inquiries submitted through our ticketing system, providing accurate information and redirecting tickets to the appropriate teams when necessary.
  • Offer Approvals: Process and track offer approvals in a timely manner, ensuring all required documentation is accurate.
  • Background Checks and Adjudication: Manage the background check process, monitor progress, and assist with the adjudication of results in accordance with company policy and legal requirements.
  • Escalation: Identify and escalate complex issues to the Tier 2 support team, providing clear and concise information.
  • Case Load Management: Effectively manage your individual case load, prioritizing tasks and keeping the team informed of the status of your work.
  • Assisting with Right to Work Checks: Assist with the administration of right-to-work checks, ensuring compliance with relevant regulations.
  • Managing Travel Invitations and Inquiries: Coordinate travel invitations for onboarding purposes and address any related inquiries from new hires.
  • Process Improvements opportunities: Ability to identify and resolve gaps and inefficiencies in our processes 
  • Minimum 1-2 yrs experience in HR and onboarding.
  • Data-driven; ability to identify and resolve gaps and inefficiencies in our processes.
  • Highly detail-oriented with a strong focus on accuracy.
  • Proven ability to follow and quickly learn new processes.
  • Dedicated to maintaining high levels of accuracy in all tasks.
  • A strong willingness to learn and adapt to new challenges.
  • Excellent team player with strong communication and collaboration skills.
  • Preferable experience with HRIS and ATS systems such as ServiceNow, Workday, HireRight, and Greenhouse.
  • Ability to thrive and maintain composure in a fast-paced and evolving environment.
