Working within the Technical Project Management Office (TPMO) team, the TPMO Support Specialist will assist the TPMO team by performing various administrative tasks focused on documenting and managing client requirements. This role is crucial for ensuring accurate and efficient handling of client information and requirements.

Duties and Responsibilities:  

 

  • Assist in gathering, documenting, organizing, and tracking client and internal IT requirements to ensure clarity and completeness.
  • Maintain accurate, up-to-date, and confidential client, vendor, and contract records, ensuring proper document control and audit readiness.
  • Coordinate and schedule meetings with internal teams, clients, and vendors; prepare agendas, document minutes, and track follow-up action items to closure.
  • Manage email and other correspondence related to client requirements, procurement activities, and vendor coordination.
  • Process ITS requests from Sales teams and/or clients, validating details and coordinating with internal teams for timely action.
  • Process and track purchase requests and purchase orders from initiation through delivery, including follow-ups on outstanding items.
  • Liaise with IT Procurement, Finance, and Accounts Payable teams to support timely order fulfillment, invoice validation, and accurate vendor payments.
  • Assist in reviewing ISP and vendor contracts, RFQs/RFPs, and commercial terms, and prepare pricing and service comparison summaries.
  • Maintain centralized inventories of circuits, vendors, and contracts, including service details, costs, terms, and renewal dates.
  • Validate ISP and vendor invoices against approved contract terms and pricing, escalating discrepancies as needed.
  • Prepare reports, summaries, dashboards, and presentation materials for client meetings and management review.
  • Provide general administrative, documentation, and expense-related support, and perform other related duties as assigned.

 
Minimum Qualifications:

 

  • Bachelor’s degree in IT, Project Management or related field, or equivalent work experience 
  • At least 3 years of experience in a related field including development work and interactions with clients 
  • Basic understanding of purchase order processing and project management principles is a plus.
