The Procurement Specialist is responsible for sourcing and purchasing materials, supplies, equipment and services in alignment with organizational needs, ensuring timely delivery and cost efficiency. This role involves strategic sourcing of operational and project requisitions, managing vendor relationships, and conducting negotiations to secure favorable terms. The Procurement Specialist ensures that all purchased goods and services meet high-quality standards and are delivered within the agreed timelines, contributing to smooth operations and operational success. The role requires a strong understanding of supply chain management, vendor management, and effective negotiation skills to maximize value and mitigate risks.

Procurement & Vendor Management:
- Process procurement activities for operations, clients, and projects, ensuring timely and efficient processes.
- Source, evaluate, and onboard new suppliers, while managing ongoing vendor relationships to improve cost, quality, and delivery.
- Negotiate contracts, pricing, and terms to secure the best value, ensuring supplier compliance with company standards.
- Implement sourcing strategies to enhance procurement efficiency and meet project needs.
- Review item specifications for compliance and accuracy against requirements.
- Oversee the deliveries of local and imported goods and services, ensuring seamless procurement from order to delivery.
- Monitor vendor performance, addressing issues promptly, and ensuring compliance with documentation and company standards.
- Coordinate with vendors to ensure timely deliveries, resolve back orders, and manage supply chain disruptions.
- Provide regular updates to internal departments on order status, delivery timelines, and potential delays.
- Analyze procurement data, generate insights, and present recommendations to improve decision-making and processes.
- Ensure all procurement activities align with company policies and legal requirements.
Client Communication & Management:
- Act as the main point of contact for clients, maintaining consistent communication to understand their needs.
- Provide regular updates on procurement progress, addressing feedback and adjusting processes to enhance satisfaction.
- Collaborate with internal teams to ensure client feedback is addressed, setting realistic goals and timelines.
- Represent the company professionally, managing conflicts and ensuring client satisfaction.
- Participate in meetings to understand client needs and deliver tailored solutions.
Ticket Management:
- Monitor, acknowledge, and address service requests, incidents, or queries promptly.
- Ensure tickets are updated and escalated when necessary, ensuring timely resolution.
General Administrative Tasks:
- Manage unexpected tasks and prioritize them based on urgency, ensuring quick resolution.
- Adapt to changing priorities, document tasks, and streamline task management processes.
- Gather resources for ad-hoc assignments, ensuring follow-up and closure.
Minimum Competencies:
- Functional expertise in procurement and vendor management.
- Strong critical thinking and problem-solving abilities.
- Proactive approach with a focus on results.
- Good communication and negotiation skills.
- Business acumen with the ability to analyze data and make strategic decisions.
- Strong influencing and strategic negotiation capabilities.
- Bachelor's Degree in Business Administration or related field (or equivalent).
- 1-2 years of experience in Purchasing or Procurement.
- Exposure to Accounting Systems with a Procurement module.
- Proficiency in Microsoft Office applications.
- Knowledgeable in accounting and bookkeeping.
