The Project Coordinator is responsible for managing the end-to-end workflow of digital content production to support weekly and campaign-based activity. Your role will include processing and preparing images for the website (including filenames and retouching categorization), tracking progress across product shoots, and managing sample flow to ensure deadlines are met.

OPERATIONAL

• Process images for website, including filenames and retouching categorisation
• Track progress on weekly work – products shot vs outstanding samples
• Manage feedback with internal retouching briefs
• Copywriting for 150+ products per week using AI tools, and conversion to HTML
• Managing recipe formatting/scripting and image supply
• Briefing and review/QA/dispatch of owned and paid digital assets weekly
• Contribute to process improvements that streamline and improve the customer experience across clients’ advertising channels.

CLIENT

• Develop an understanding of the strategic and creative process within BMF and our clients
• Support strong client relationships based on trust and integrity via strong communication with client leads
• Assist with meeting preparation, including presentations, agendas etc
• Assisting the Retail Experience team in maintaining brand guidelines and ensuring they’re adhered to
• Working with the PMs to ensure strong client management hygiene
• Become a brand expert, familiar with all brand guidelines and able to flag any job that is not on brand, or has unclear details in the brief.

FINANCIAL

• Financials – file and coordinate all signed estimates, releasing them on the system and providing copies to all relevant parties
• Open job numbers and generate PO’s when required
• Maintain timesheets accurately daily.
• Engage with opportunities to upskill, cross-skill, and learn from your colleagues and the wider team.

Strong time management and prioritising skills

Attention to detail across a huge volume of assets

Clear and effective communication with both internal and client stakeholder management

Understanding of the digital marketing landscape

Excel skills must be at least intermediate

Experience on retail accounts, either client or agency side, a plus

Knowledge of the Microsoft 365 suite, Adobe Acrobat, Bridge, and (basic) Photoshop, as well as GoogleDocs preferred

Excellent Communication Skills

Absolute attention to detail, quality, and timely execution of tasks is paramount.

Ability to work at pace in a busy Agency environment, to make quick and confident decisions about jobs, and be proactive about resolving queries.

Ability to work within set processes and timelines to ensure high-turnover, high-frequency briefs are executed to the highest possible standard, whilst allowing enough time to be as creatively led and well-crafted as possible.
