POSITION: Admin Analyst
JOB DESCRIPTION:
- Oversee daily operations, schedules, appointments, and administrative tasks
- Handle calls, emails, and correspondence professionally
- Conduct regular property inspections and report observations
- Monitor consumables and track stock levels for reordering and reporting
- Ensure asset accountability, tagging, and tracking
- Maintain a detailed and updated master asset inventory
- Monitor housekeeping activities and ensure cleaning standards
- Ensure compliance with preventive maintenance schedules
- Process purchase requests and source vendors with cost comparisons
- Prepare bid evaluations and execute purchase orders
- Manage vendor relationships and negotiate costs
- Process and monitor permits and licenses for timely renewal
- Ensure all documents are valid, updated, and properly posted
- Manage contracts and ensure proper review, approval, and monitoring
- Track insurance requirements and ensure timely renewals
- Prepare reports and ensure compliance with company standards
- Disseminate important operational information and updates
- Manage schedules, deadlines, and maintain trackers, databases, and records
- Ensure compliance with accounting and bookkeeping procedures
- Manage billing, collections, and payment monitoring
- Review contractor and supplier billings
- Monitor expenses to stay within budget
- Manage petty cash with complete documentation
- Conduct customer feedback surveys to improve services
- Ensure effective administrative processes to support business growth
- Recommend process improvements for better efficiency and service delivery
- Participate in trainings, seminars, and company activities
JOB QUALIFICATIONS:
- Proven experience as an Administrative Analyst. Experience in property management/facilities management is an advantage.
- Bachelor’s/College Degree in Business Administration or any related field.
- Willing to work on-site - 6 days a week
