The IT Procurement Specialist is responsible for supporting IT purchasing activities, managing vendor coordination, and ensuring efficient procurement operations. This role plays a key part in securing cost-effective and timely acquisition of IT products and services, while ensuring compliance with company policies and vendor agreements. The specialist collaborates with IT, Finance, and Legal teams to streamline procurement workflows and optimize IT asset management.
Responsibilities:
- Process purchase requisitions, ensuring alignment with procurement policies and approval workflows.
- Review IT procurement requests, validating specifications, pricing, and compliance requirements.
- Liaise with IT vendors and suppliers, ensuring timely order fulfillment and service delivery.
- Assist in contract documentation and negotiation, ensuring favorable terms and risk mitigation.
- Obtain competitive quotes from vendors, comparing pricing, service levels, and contract terms.
- Track software licensing, cloud service subscriptions, and hardware purchases to optimize IT spending.
- Conduct cost analysis and reporting, supporting budgeting and financial planning.
- Maintain accurate records of IT assets, software licenses, and renewals.
- Ensure procurement activities align with IT asset lifecycle management strategies.
- Monitor contract renewal dates, subscription plans, and warranty coverage.
Requirements:
- Bachelor’s degree in Business, Supply Chain, Information Technology, or a related field.
- 3-5 years of experience in IT procurement, supply chain, or purchasing.
- Familiarity with IT purchasing processes, vendor negotiations, and contract administration.
- Proficiency in procurement software, ERP systems, and Microsoft Office Suite.
- Strong organizational, analytical, and negotiation skills.
- Ability to track procurement requests, manage vendor relationships, and analyze costs.
Nice to Have:
- Experience in SaaS and cloud service procurement (AWS, Azure, GCP licensing models).
- Familiarity with e-procurement tools (SAP Ariba, Coupa, Oracle Procurement Cloud, etc.).
- Certified Professional in Supply Management (CPSM)
- Certified Technology Procurement Specialist (CTPS)
- ITIL Foundation Certification (for IT service management knowledge)
- Knowledge of contract compliance frameworks (SOC 2, GDPR, ISO 27001) in IT procurement.
