About Your Company
A leading infrastructure and property development firm is seeking a professional and experienced Secretary to provide essential support to the Chairman Assistant. The role requires excellent organizational skills, effective handling of confidential matters, and a solid understanding of corporate operations within a listed company environment.
Job Responsibilities:
- Provide comprehensive secretarial and administrative support to the Chairman Assistant, ensuring smooth coordination of daily activities and schedules.
- Manage the Chairman Assistants calendar, including appointments, business meetings, and restaurant bookings, ensuring the itinerary is well maintained.
- Coordinate domestic and international travel arrangements, with a primary focus on frequent travel to the PRC.
- Monitor and manage departmental budgets and expenses for a small team, handling monthly claims efficiently.
- Handle general office matters and clerical duties to support smooth office operations.
- Assist in preparing meeting documents, reports, and other presentation materials as needed.
- Extract and summarize relevant data from financial and interim reports to provide to the Chairman when requested.
- Perform ad-hoc tasks as assigned by the Chairman or the Assistant.
- Maintain confidentiality and exercise discretion in handling sensitive company and employee information.
Job Requirements:
- Higher Diploma or Bachelor degree holder in Business administration or related field.
- At least 5-7 years of experience in Secretary or Executive Assistant roles supporting senior executives, preferably within a listed company environment, with familiarity in corporate governance and compliance.
- Proficient in Microsoft Word and Excel, with strong organizational skills and attention to detail.
- Effective communication skills in English and Mandarin to liaise with internal teams and external stakeholders.
- Proven capability in managing executive travel logistics, particularly showing adaptability to frequent travel to the PRC.
- Self-motivated, able to work independently, and proficient in multitasking with professionalism.
- High level of integrity and discretion in managing confidential information.
