Executive Assistant / Administrative Assistant / Secretary (Start-up, Hong Kong Island)
The Group is a leading branding and marketing technology firm based in Asia, known for delivering innovative product-driven solutions and interactive marketing services to clients in various sectors. With operations in Hong Kong, China, SEA, and Europe, the Group is dedicated to enhancing its offerings through the power of storytelling and technology. They are seeking an energetic Executive Assistant / Administrative Assistant / Secretary to provide comprehensive support to the CEO while also managing essential office administrative tasks. This role requires a proactive multitasker who can thrive in a dynamic environment.
Responsibilities
- Provide high-level administrative support to the CEO, managing their calendar, scheduling meetings, and coordinating travel arrangements.
- Assist in office administrative tasks, including managing MPF requirements and documentation.
- Manage communications, including screening emails, answering phone calls, and handling inquiries.
- Coordinate and facilitate internal and external meetings, conferences, and events.
- Maintain effective document management and filing systems.
- Foster strong working relationships with stakeholders at all levels.
- Perform ad hoc tasks and assist with special projects as assigned.
Qualifications
- Bachelors degree or equivalent qualification
- Minimum of 2 years of solid experience as a Personal Assistant / Executive Assistant / Secretary / Administrative Assistant / Office Admin role.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills in English and Chinese (Cantonese and Mandarin).
- High attention to detail and accuracy in work deliverables.
- Proactive and resourceful, with a problem-solving mindset.
- Demonstrated ability to handle confidential and sensitive information with integrity.
- Flexibility and adaptability in a fast-paced and dynamic environment.
