Position Overview

ThePeople Engagement & Administrator Associate is responsible for managing communication with applicants for both training programs and job vacancies. This role ensures a smooth transition from initial application to final engagement by handling inbound and outbound calls, guiding applicants through the enrollment and hiring process, scheduling interviews, and maintaining applicant records. The officer plays a key role in increasing conversion rates for training programs and optimizing the efficiency of recruitment processes.

Key Responsibilities

A. Training Engagement & Coordination

  • Contact applicants who register for training programs to confirm interest and provide relevant details.

  • Follow up with potential participants to maximize conversion from applicants to enrolled trainees.

  • Coordinate training logistics, ensuring smooth communication between trainers and participants.

  • Track and analyze training conversion rates, providing insights for improvement.

  • Support in organizing venue arrangements and managing online training platforms.

B. Recruitment Coordination

  • Call job applicants to inform them about vacancies and schedule interviews.

  • Arrange interviews between candidates and hiring managers, ensuring an efficient process.

  • Maintain consistent communication with applicants regarding their application status.

  • Document applicant interactions, interview schedules, and outcomes for process optimization.

  • Collaborate with the recruitment team to enhance applicant experience and hiring efficiency.

C. Communication & Documentation

  • Maintain accurate records of calls, follow-ups, and applicant progress.

  • Provide reports on training enrollments, interview scheduling efficiency, and call conversion rates.

  • Work closely with marketing and outreach teams to refine messaging and engagement strategies.

  • Ensure compliance with data security and company policies in handling applicant information.

Qualifications & Requirements

Skills:

  • Excellent communication and interpersonal skills.

  • Strong organizational abilities to manage scheduling and follow-ups efficiently.

  • Ability to handle high call volumes while maintaining professionalism.

  • Familiarity with CRM systems, Google Workspace, and call management tools.

  • Analytical mindset to track and improve conversion rates and applicant engagement.

  • Training Conversion Rate: Percentage of applicants converted into paying trainees.

  • Recruitment Call Efficiency: Number of successful interview appointments scheduled.

  • Response Time: Speed of follow-ups with new applicants.

  • Applicant Engagement Rate: Percentage of applicants advancing to the next stage in training or hiring.
