Job Description:

  • General Affairs
    • Order and manage office supplies
    • Oversee office operations, including coordination with maintenance service providers
    • Manage car leases and fuel credit cards
    • Organize and file contracts
    • Act as the contact point for safety, health, and disaster prevention
    • Manage office PCs, coordinating with IT maintenance vendors
    • Handle document printing and storage
    • Sort and manage incoming and outgoing mail
    • Provide other administrative support as needed
  • Human Resources
    • Ensure smooth HR operations handled by an outsourced company, including:
    • Payroll processing and payslip preparation
    • Monthly personal income tax (PND1) submission
    • Social security filings (S.P.S.1-10) and employee enrollment/termination
    • Drafting employment contracts
    • File and manage payroll and tax documents, securing approvals from the President and Administration GM
    • Check attendance records and collect payroll-related data
    • Verify payroll calculations and print necessary documents
    • Manage documents created by the outsourcing company and submit them to the tax office
    • Respond to inquiries from the outsourcing company
  • Accounting & Finance
    • Coordinate with an outsourced accounting firm handling:
      • Transaction recording in the accounting system
      • Monthly VAT and corporate tax filings
      • Withholding tax filings and issuance of withholding tax certificates
      • Monthly closing processes and trial balance preparation
      • Creation of financial reports (preliminary and final)
    • Send invoices and bookkeeping data to the outsourcing firm
    • Receive, file, and secure internal approvals for accounting documents
    • Monitor daily cash balances via online banking
    • Send withholding tax certificates to suppliers
    • Verify payment data and execute payments via online banking
    • Review employee expense claims and provide guidance on corrections
    • Coordinate with external auditors and support audit procedures
    • Transfer numerical data in Excel, compile reports, and create invoices
    • Act as the contact point for suppliers and vendors
    • Support internal control activities, including documentation and manual creation

Qualifications:

  • At least 5 years of experience in administration-related functions (HR, accounting, or general affairs) within the past 10 years.
    • Priority order: HR > Accounting > General Affairs
    • Experience in multiple fields is preferred.
  • Work experience using English. Preferred Experience
    • Experience working in a Japanese company
    • Experience handling payroll, social security, and tax filings
    • Basic knowledge of bookkeeping
  • Required Skills & Qualifications
    • Comprehensive understanding of corporate administration (HR, general affairs, accounting)
    • English communication skills (at least conversational level)
    • Strong compliance and fraud prevention awareness
    • Bachelor's degree or higher
    • Proficiency in Microsoft Office (Excel, Word, etc.)
