Responsibilities:

  1. Invoice Processing:

    • Efficiently process a high volume of invoices, ensuring accuracy and adherence to company policies.
    • Verify coding, obtain approvals, and enter invoices into the NetSuite system.
  2. Payment Processing:

    • Execute timely and accurate payments through various payment methods (checks, ACH, wire transfers) in compliance with payment terms.
    • Reconcile payment records with vendor statements and resolve discrepancies.
  3. Vendor Management:

    • Maintain effective communication with vendors to address inquiries, resolve issues, and ensure a positive vendor relationship.
    • Regularly update vendor information in the NetSuite system.
  4. Expense Reimbursement:

    • Process employee expense reports, ensuring compliance with company policies.
    • Reconcile credit card statements and ensure proper documentation for expenses.
  5. Month-End Close:

    • Assist in month-end closing activities related to accounts payable, including accruals and reconciliations.
  6. Reporting:

    • Generate and analyze reports from NetSuite to provide insights into accounts payable metrics.
    • Prepare ad-hoc reports as required by management.
  7. Compliance:

    • Ensure compliance with accounting policies, procedures, and relevant regulations.
    • Stay updated on changes in accounting standards and make recommendations for process improvements.
  8. Collaboration:

    • Collaborate with cross-functional teams, including procurement, finance, and other departments, to streamline processes and improve efficiency.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field.
  • Proven experience as an Accounts Payable Specialist or similar role.
  • Strong understanding and hands-on experience with NetSuite ERP system.
  • Knowledge of accounting principles and practices.
  • Proficient in Microsoft Excel and other accounting software.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
