Admin/Accounting Assistant (E-commerce Operations) - WFH
Job Description:
We are seeking a highly organized and proactive Administrator to become the operational hub of our online business. This role is critical for ensuring smooth day-to-day operations, bridging our administrative functions.
Please note: If you are someone who does not prefer to be meticulous, this role is not for you. We require a candidate who is exceptionally detail-oriented and ready to hit the ground running.
Key Responsibilities
E-commerce Operations & Order Support:
-Serve as the central point for order-related administration, including the accurate processing of Delivery Orders (DOs) and Purchase Orders (POs).
-Generate and process customer invoices, and assist with accounts payable/receivable tasks related to e-commerce vendors and suppliers.
-Coordinate with logistics partners and internal teams to ensure timely order fulfillment.
Office & Administrative Management:
-Act as the first point of contact for the company, professionally managing phone calls, emails, and other communications.
-Organize schedules, coordinate meetings, and manage general office operations, including supplies and vendor liaison.
-Maintain impeccable digital records for all financial and operational documents, ensuring easy retrieval and data integrity.
Financial & Data Support:
-Perform precise data entry for inventory, sales, and financial records using QuickBooks Online (QBO) and other platforms.
-Assist with budget tracking, expense reporting, and month-end closing procedures.
-Provide support for payroll data collection and reconciliation, ensuring accuracy and confidentiality.
Qualifications & Skills:
-A diploma or degree in Business, Administration, or a related field.
-1-2 years of experience in an office administration role; exposure to e-commerce, logistics, or basic bookkeeping is a significant advantage.
-Technical Proficiency: Strong skills in MS Office (especially Excel); experience with QuickBooks Online (QBO) or e-commerce platforms (e.g., Shopify, Shopee) is a strong plus.
