Fleet Admin Assistant - WFH

 Job Description:

We are seeking candidates who can start immediately without notice period.

Job Responsibilities:

1. Administration & Compliance

-Maintain up-to-date vehicle records (road tax, insurance, VPC, COE, inspections).

-Monitor OneMotoring and VSIR daily for renewals, inspections, and summons.

-Send renewal and accrual lists two months in advance.

-File and organise vehicle documents for easy access.

2. Fleet Maintenance

-Track vehicle servicing, repairs, and inspections.

-Coordinate with workshops for quotes and appointments.

-Update fleet readiness and cost reports every 10 days.

-Assist with vehicle rentals or returns as needed.

3. Reporting & Records

-Prepare diesel and GPS usage reports.

-Generate fleet performance and usage reports.

-Maintain records for accidents and insurance claims.

-Manage petty cash and invoices related to fleet expenses.

4. Driver & Operations Support

-Book flight tickets for drivers when required.

-Submit driver details for summons.

-Share updates and schedules via the fleet WhatsApp group.

5. Other Duties

-Source quotations for fleet-related purchases.

-Support the director with forms, petty cash, and reimbursements.

-Perform other fleet-related tasks as assigned.

Qualifications:

-At least 3 years of related experience in fleet admin or logistics.

-Proficient in Microsoft Office and fleet software (GPS/FMS).

-Good communication and teamwork skills.

-Detail-oriented and organised.
