Role Introduction

The Coordinator - Technical Services, will assist the technical services team managers with administrative tasks associated with event delivery and day-to-day operations.

The Technical Services Team is responsible for the set-up, operation and maintenance of Audio, Lighting, Video, Digital Signage, AV Network, Rigging and Staging assets across the Kai Tak Sports Park. The Coordinator - Technical Services will play a key role in ensuring the appropriate resources are in-place to deliver events, and all relevant documentation is followed up in a timely manner.

Key Responsibilities

  • Manage the internal team roster and technical service resource allocation across events in all 3 venues
  • Preparing client quotations for additional services associated with events
  • Ensuring event settlements are accurately reported to finance
  • Liaising with HR to schedule additional casual staff where required and ensuring their hours are accurately recorded
  • Arranging event accreditation for the team as required
  • Support staff on-boarding / off-boarding processes and other HR related matters for the team
  • Maintaining assets inventory records
  • Provide procurement support for additional equipment and spare parts, including raising Purchase Requisitions, following up on Purchase Order opening/closing status, maintaining procurement & financial records, preparing Goods Received Notes, arranging payment etc.
  • Organise and coordinate meetings with internal and external parties; arranging parking, access and accreditation
  • Handling any ad-hoc administrative requests from technical managers

Requirements

  • Diploma holder and above
  • Minimum 3 years of secretarial/administration experience. Working experience in event production or venue management will be considered an advantage.
  • Strong planning and organizing skills and attentive to details
  • Ability to work independently and a good team player
  • Fluent in both written and spoken English and Chinese
  • Proficiency in MS Office (Sharepoint, Word, Excel, PowerPoint and Chinese Word Processing)
