Role Introduction

The Precinct Coordinator will participate in the planning and execution of all events, functions and operating activities taking place within the public open spaces at Kai Tak Sports Park. As part of the Event Operations team and reporting to the Precinct Manager you will collate event, functions and operations requirements and working closely with other KTSPL departments to coordinate these activities.

Key Responsibilities

  • To plan, organize, and support events taking place within the public open spaces at Kai Tak Sports Park.
  • Actively report, participate and contribute to workplace health and safety.
  • Ensure information on the event and operational requirements are being uploaded and managed via the Event Management System (EMS) platform.
  • Develop detailed temporary overlay plans and event orders for works, events and activities taking place within public open spaces.
  • Upon confirmation of the event, activity and operations schedule issue related documentation to all stakeholders and parties.
  • In collaboration with other KTSPL departments plan and prepare precinct activations that support the events that are taking placed within the Kai Tak Stadium, Indoors Sports Centre and Youth Sports Ground.
  • Support the assets and facilities department where necessary to setup and manage equipment to support the event.
  • To implement venue rules, regulations, policies, and procedures, and develop standard operating procedures for the Event Services team and monitors their compliance.
  • To meet with potential clients, advise them on the venue and event requirements.
  • To implement all policies, procedures, hirings agreements to ensure effective management of public open spaces.
  • Perform other duties or special projects as required.

Requirements

  • Bachelors degree or above.
  • Proven experience working in venue management, event management or sports and leisure industry.
  • A collaborator with strong interpersonal and communication skills, good logical thinker, and experience working with multiple organisations.
  • Well-organized, meticulous, able to work to strict deadlines.
  • English and Chinese speaking.
  • Proficient user of Microsoft Word, Excel, and PowerPoint.
  • Preferred Qualifications/Experience:
    • Experience working with Ungerboeck (EMS) and Auto Cad.
    • Demonstrated experience in dealing with community user groups, customers and tenants.
    • A technical understanding of temporary overlay (e.g. power, utilities, audio visual).
    • First Aid certification.
