Role Introduction

The Event Coordinator will support the Event Operations Department and wider be KTSPL organisation successfully plan and deliver events, activities and functions across the KTSP precinct. This includes collating event and operations related information, planning and working closely with other KTSPL departments and being hands on coordinating events.

Key Responsibilities

  • To plan, organize, and support events taking place at Kai Tak Sports Park.
  • Ensure information on the event and operational requirements are being uploaded and managed via the Event Management System (EMS) platform.
  • Upon confirmation of the event schedule issue event related documentation to all stakeholders and parties.
  • To collaborate with all KTSPL departments as needed, providing clear, concise, and timely communication to ensure smooth running of events, ensuring high standards are always met.
  • Support the assets and facilities department where necessary to setup and manage equipment to support the event.
  • To implement venue rules, regulations, policies, and procedures, and develop standard operating procedures for the Event Services team and monitors their compliance.
  • To meet with potential clients, advise them on the venue end event requirements.
  • Prepare accurate reports of monthly event activities and utilisation.
  • To attend meetings and engagements where required by the Head of Events.
  • Perform other duties or special projects as assigned.

Requirements

  • High school diploma or equivalent business administration, Hotel & Hospitality Management, Event Management, or related disciplines.
  • A collaborator with strong interpersonal and communication skills, excellent leadership skills, good logical thinking, strong problem-solving and negotiations skills.
  • Well-organized, meticulous, able to work to strict deadlines with the ability to priorities a range of tasks.
  • Flexibility.
  • Capable to manage ad-hoc and/or multiple projects at one time.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Chinese word processing.
  • English and Chinese in speaking and writing required.
  • Experience working within the events, hospitality, logistics or operation fields is a plus.
  • An understanding of technical production and first aid certification is an advantage
  • Experience working with event management software and auto cad events is preferred.
