Role Introduction
Reporting to the F&B Office Manager, the role of Casual Staffing Administrator is to support the Casual Staffing team in managing a high volume of casual workers for various positions within our organisation. Your primary focus will be on the execution of casual staffing in the areas of contract whilst being a major contributor to the overall operational delivery of the Event Staffing Program Area at Kai Tak Sports Park. This is an event-based operational role. Onsite support is key to the delivery of the services this role is responsible for delivering.
Key Responsibilities
- Perform daily operations, such as rostering, timesheet management, attendance checking etc;
- Maintain a comprehensive record of casual staff attendance, including check-ins/outs and mealtime;
- Assist Senior Manager(s) in assessing manpower needs and managing costs;
- Coordinate with external staffing agencies for manpower planning and training initiatives;
- Scheduling casual staffing including create and manage work schedules, ensure adequate staffing levels based on demand and communicate shift changes and updates to staff;
- Managing the end-to-end invoice processing cycle, ensuring accuracy and timeliness in the handling of vendor invoices;
- Oversee the uniform inventory, procurement, distribution, and maintenance processes within the organisation;
- Prepare regular reports and metrics on manpower cost;
- Maintain related systems and monitor agencies' performance;
- Assist the casual staffing team in attracting, recruiting, and retaining the casual workforce for the organisation;
- Collaborate closely with event operations teams to understand staffing demands and ensure adequate coverage of casual workers;
- Act as a brand ambassador and promote the organisation's values and culture to candidates throughout the events;
- Participate in career fairs, industry events, and networking activities to build a strong talent network and promote the organisation's casual employment opportunities.
- Manage casual staff training schedule; document and file completed trainings and certifications;
- Assist with clerical duties and support all members of management with clerical assistance as needed;
- Be flexible and willing to assist with other duties as required.
Requirements
- Higher Diploma in Human Resources, Business Administration, Hospitality or a related field (or equivalent experience);
- Minimum 3 years experiences in Event Operations, Hospitality or HR gained from operations field
- Experience in a casual labour or seasonal staffing environment;
- Well versed with Hong Kong Employment Ordinance and regulations;
- Good communication and interpersonal skills, well-organized, fast paced, and flexible at work;
- A team player with proactive, detail and result oriented mindset, fast learner, able to work independently; solid skills on talent recruitment and development;
- Proficient in MS Office including Word, Excel, PowerPoint, and Chinese Word Processing;
- Excellent command of written and spoken English and Chinese, and Mandarin is a plus;
- Ability to work in a fast-paced, dynamic environment and adapt to changing priorities;
- Ability to work extended and/or irregular hours that may vary due to functions, including day, evening, weekends, and holidays as needed.
