Role Introduction

The Coordinator - Procurement will support the Manager - Procurement in assisting the sourcing, managing supplier relationships, ensuring compliance, inputting order data, tracking shipments, identifying cost savings and adherence to ASM Global compliance requirements.

Key Responsibilities

  • Assist the Manager - Procurement with all stages of the procurement process and work cross-functionally with all internal and external teams.
  • Prepare and draft purchase orders and upload corresponding data into the system (Oracle ERP and SwiftPOS).
  • Maintain and support the regular data update in the system (Oracle ERP and SwiftPOS).
  • Managed by and working with the Manager - Procurement to maintain contract files, track contract expiry dates, and proactively notify stakeholders about upcoming contract renewals or re-bidding.
  • Develop and implement new procurement and sourcing strategies, aligning with industry news and best practices.
  • Maintain a strong working relationship with stakeholders, ensuring adherence to ASM Global's procurement protocols and procedures.
  • Oversee the timely management and execution of orders, ensuring that status updates and order deliveries are communicated to the appropriate point of contact.
  • Support with the development of strategies to select the best products and services for KTSPL.
  • Ensure accurate and timely documentation of procurement processes and transactions.
  • Provide assistance and support to the Manager - Procurement and the Operations of KTSP, in relevant duties and ad hoc projects, as required.

Requirements

  • Diploma holder or above.
  • Supply Chain, Procurement, Data Input Experience preferred.
  • 2 years or above of relevant experience in sizable organisation, knowledge base of Assets and Facilities, Hospitality / Hotel, Catering Industry with exposure to procurement processes are an advantage.
  • Experience with internal and external written and verbal communication.
  • Knowledge of computerized procurement system (Oracle ERP and SwiftPOS) will be an advantage.
  • Familiar with MS Word, Excel and Chinese Word Processing.
  • Proactive and able to work under pressure.
  • Be cooperative and willing to assist as required.
  • Independent, self-motivated, committed and a good team player.
  • Good command of spoken and written Chinese and English, including Putonghua.
