Role Introduction
The Coordinator - Events will support the Event Operations Department and wider KTSPL organisation successfully plan and deliver MICE events, activities and functions across the KTSP precinct. This includes collating event and operations related information, planning and working closely with other KTSPL departments and being hands on coordinating events.
Key Responsibilities
- To plan, organize, and support all events taking place at Kai Tak Sports Park.
- Working closely with MICE team members, Food and Beverage, Technical Services, Safety and Security, Assets and Facilities adequately plan and prepare event recharges and services orders.
- Ensure information on the event and operational requirements are being uploaded and managed via the Event Management System (EMS) platform.
- Upon confirmation of the event schedule, issue event related documentation to all stakeholders and parties.
- To collaborate with all KTSPL departments as needed, providing clear, concise, and timely communication to ensure smooth running of events, ensuring high standards are always met.
- To implement venue rules, regulations, policies, and procedures, and develop standard operating procedures for the Event Services team and monitors their compliance.
- To meet with potential clients, advise them on the venue and event requirements.
- Prepare accurate reports of monthly event activities and utilization.
- To attend meetings and engagements where required by the Head of Events.
- Perform other duties or special projects assigned.
Requirements
- Experience working within the Hospitality, Food and Beverage, Events Hotel or Hospitality industries.
- A collaborator with strong interpersonal and communication skills, excellent leadership skills, good logical thinking, strong problem-solving and negotiations skills.
- Well-organized, meticulous, able to work to strict deadlines with the ability to priorities a range of tasks.
- Flexible approach to problem solving and issue resolution.
- Capable to manage ad-hoc and/or multiple projects at one time.
- Proficient in Microsoft Word, Excel, PowerPoint, and Chinese word processing.
- English and Chinese in speaking and writing required.
