Our client is a growing logistics and transportation business based in Manchester, United Kingdom, serving customers across the UK.

As the company continues to expand its operations, they are seeking a highly organized and detail-oriented Logistics Administrative VA in the Philippines to provide back-office administrative support and maintain accurate operational records.

Role Overview

This is a fully remote, full-time role for a Logistics Administrative VA based in the Philippines.

The primary focus of this position is back-office administration, documentation, data management, and record keeping. The successful candidate will help maintain accurate logistics information and ensure administrative processes are completed efficiently.

Key Responsibilities

- Enter and update shipment information in internal systems

- Maintain accurate logistics databases and spreadsheets

- Process and organize logistics-related documentation

- File and maintain digital operational records

- Verify shipment information for accuracy and completeness

- Check records for missing, inconsistent, or incorrect information

- Update internal records when shipment information changes

- Prepare daily, weekly, and monthly administrative reports

- Compile logistics data for internal reporting

- Maintain tracking spreadsheets and operational records

- Maintain administrative calendars and internal schedules

- Process routine logistics forms and documentation

- Organize and maintain electronic filing systems

- Assist with invoice and billing documentation

- Match delivery documentation with corresponding records

- Perform accurate data entry and information updates

- Prepare internal administrative summaries

- Maintain records of completed and pending administrative requirements

- Monitor shared administrative inboxes for documents and requests

- Route administrative requests and documentation to the appropriate internal team member

- Assist with preparing internal logistics reports and documents

- Identify administrative discrepancies and flag them to the appropriate team member

- Follow established data-entry, documentation, and filing procedures

- Maintain confidentiality of company and customer information

- Perform other administrative duties related to logistics operations as required

Candidate Requirements

- Minimum 2 years of experience in logistics administration, administrative support, data entry, operations administration, or a similar role

- Previous experience in the logistics or transportation industry is preferred

- Experience supporting UK-based businesses or international clients is an advantage

- Excellent written English communication skills

- Strong organizational and time-management skills

- Exceptional attention to detail and accuracy

- Strong data-entry skills

- Comfortable working with spreadsheets and large amounts of information

- Proficiency in Google Workspace, Microsoft Office, Excel, and online collaboration tools

- Experience with CRM, ERP, logistics, inventory, or transportation management systems is an advantage

- Strong documentation and record-keeping skills

- Ability to identify discrepancies or missing information

- Strong analytical and problem-solving skills

- Ability to manage multiple administrative tasks and deadlines

- Ability to work independently with minimal supervision

- Highly dependable, organized, and process-oriented

- Comfortable working with UK-based teams

- Willingness to work Monday–Friday on UK time
