Job Summary:
The Senior Administration Officer ensures smooth office operations, logistic, compliance and administrative support for solar project. This role oversees facilities management, vendor coordination, travel logistics, documentation, and regulatory compliance acting as the backbone of day-to-day operations.
Responsibilities:
- Manage daily office operation, ensuring efficiency and compliance with company policies.
- Supervise administrative staff and delegate tasks.
- Oversee office supplies, equipment, and facility maintenance.
- Oversee site office setup for remote solar project locations.
- Coordinate with procurement teams for stationery, IT hardware, and facility services
- Negotiate contract with vendors (Cleaning, security, catering, rentals)
- Maintain and organize company records, contracts, permits and reports.
- Ensure proper filing (physical and digital) of project documents.
- Arrange employee travel, accommodations, and site visit logistics
- Manage company vehicles, fuel and driver schedules for project sites
- Ensure compliance with travel policies and expense reporting
- Maintain company records, permits and legal documents (licenses, insurance, land leases)
- Ensure compliance with travel policies and expense reporting
- Assist in onboarding/Offboarding (ID Cards, Access control, workstation setup)
- Organize employee welfare programs, meetings and training sessions.
- Manage visa processing, work permits and immigration compliance (if expatriates are
involved)
- Track incident reports and follow up on corrective actions.
- Liaise with government officials, local communities and contractors for smooth operation
Qualifications and Skills:
- Bachelors degree in business administration or related field.
- 3-5years of finance experience, preferably in renewable energy/construction/project-based
industries.
- Experience in large-scale infrastructure/solar project is a strong plus.
- Proficiency in Ms Office ( Word, Excel, PowerPoint,Outlook)
- Knowledge of solar project economics
- Strong analytical and problem-solving abilities
- Excellent communication for cross-functional collaboration
- Ability to work under light deadlines in a fast-paced environment.
Working Hours:
Mon - Fri (8:00am - 5:00 pm)
